The Support department in MSF Sweden is looking for an organized and creative coordinator who can professionally work, in support of the General Director and the MSF Sweden Management team, across the organization to define and lead processes, and work proactively to improve the quality of the content of our annual planning, reporting, and risk management.

The position

The role of the Executive Coordinator is to support the General Director (GD) and the Management Team (MT) in planning, reporting and follow-up. The Executive Coordinator is also responsible for supporting and contributing to the internal information flow from the MT and continuous and proactive support to the internal governance, accountability and documentation.

Main responsibilities:

• Delegated responsibility to coordinate the executive's activities such as projects and objectives, based on the needs of the GD and MT

• Strategic support to the General Director and the Management Team including planning and documentation of MT meetings, board meetings, etc

• Strategic and Administrative Support to international GD portfolios and other international commitments

• Administrative support to the GD including but not limited to travel bookings, planning of hosted meetings, etc

• Organize and facilitate (in close collaboration with the GD and the MT): Annual Planning in MSF Sweden; monthly, triannual and annual reporting in MSF Sweden; and analysis, follow up and learning from reporting, AAPs

• Responsible for internal communication coming from GD and MT to the relevant MSF Sweden platforms

• In charge of content management for GD site and MT calendar

• Responsible, together with the controller, to coordinate the risk management process, facilitate workshop, update the software Naris and produce a report annually for approval to the board

• Lead, facilitate and document important and sensitive issues requiring legal input and follow-up as required. These include Trademarks, GDPR, Project Management Office support, Crisis management, and other dossiers, in close collaboration with Support Services Manager

We are looking for someone with:

• Relevant university degree (Bachelor minimum)

• Experience from planning, reporting on a strategical level

• Ability to process sensitive information with discretion and respecting confidentiality

• Ability to arrange and coordinate the facilities for events, conferences and workshops.

• Ability to build positive, proactive relationships with colleagues to enhance and improve internal communications, problem solving where necessary.

• Excellent user of Microsoft Office 365 package

• Fluency in English

Valuable:

• Knowledge of French and/or Swedish, written and spoken is an asset

• Field experience with MSF is a significant asset

• Proven knowledge of working with formal project management methodology.

• Proven experience in an Executive coordinator (or equivalent role supporting senior professionals).

• Experience supporting the governance of an organisation and/or working with a Board of Trustees (or Directors).
