Executive Assistant supporting the Chief Executive and top management at Entraction with all administrative tasks and ensure the efficient operation of the executives office. You must be able to communicate with high-level management, employees and visitors with the utmost level of professionalism and maintain a high level of confidentiality working with sensitive information. Manage a variety of ad-hoc projects and conduct research to obtain information in support of various department initiatives; present findings by creating sophisticated Excel and PowerPoint presentations.
Must be detail-oriented with the ability to organize and manage multiple projects simultaneously and be able to adjust to changing timelines. Maintain the executive calendar and arrange travel; assist in completing expense reports. Arrange meeting logistics including equipment, food and beverages, and related presentation materials as needed. Arrange for accommodations and entertainment for company visitors. Coordinate major activities and special events, for the department. Set-up and maintain filing systems. Coordinate administrative activities with other IGT departments.
Requirements
• High school diploma required. University studies a plus.
• At least 3 years of related administrative experience supporting a VP or higher level executive required.
• Advanced MS Office skills with Word, Excel and PowerPoint.
• Project management experience highly preferred.
• Excellent time management, prioritization and organization skills.
• Excellent verbal and written communication skills in English and Swedish.
• Ability to use discretion working with confidential information.
