For our client we are looking for a Administrative Assistant

Job description:
Enthusiastic to embark on our Agile transformation journey and join our company team as the Administrative Assistant?
The person we are looking for provides a high degree of administrative support and service to the Unit leadership team and in applicable cases to unit members. You need to be willing to step outside of your normal duties and help the Leadership Team with tasks that are highly prioritized and needed.

To be successful in this position, we think that you should have several years of experience working with administration, experience from planning, travel management and from being a member in a leadership team and/or working closely with leaders on different levels. This unit's responsibility demands a high level of flexibility as every day varies pending on the unit's daily tasks at hand. You should not be afraid to take decisions on behalf of your manager and represent the unit if delegated.

Example of Responsibilities & Tasks:
Desire to understand the functional area (IT), develop and grow in the role
Proven track record of working in an environment where taking the 'easy route' is not always possible, thus requiring perseverance and creative thinking to achieve desired outcomes
Prepare and distribute different lists/templates (e.g. distribution lists, vacation lists)
Handle, prepare and amend orders, invoices, and other documents in our internal systems for i.e. Purchasing, Travel Management
Act as expert for administrative systems and guide in routines
Support and organize visa arrangements, invitation letter, letter of guarantee for internal/external travels per regulations
Support employee on-boarding and exit
Compile, prepare and review presentation material and other information on behalf of manager
Handle organizational changes and updates of employees in our internal HR tools
Share valid information, within the assistant network, both within own unit and outside
Plan and organize meetings on behalf of manager
Attend meetings to assist with administrative parts (e.g. minutes of meeting, action plans, action points, do follow ups on deadlines.)
Work closely and effectively with the manager to keep him/her well informed of upcoming commitments, responsibilities, and act as a "filter
All above with the aim to optimize the administrative efficiency, meeting business needs and enable the line organization to focus on the core business

Preferred Qualification & Experience Requirements:
3-5 years working experience as an assistant or as an administrator
Fluent in Swedish and English
Demonstrated experience of working closely with Leaders
Performs work under minimal supervision
Good administrative skills and high knowledge of IT administrative systems is a plus
Very good skills in MS office programs and especially in PowerPoint
Overall company knowledge and brand values is a plus
