At Axel Arigato, we have set out to "Create the Present, Shape the future and Inspire generations". We are anticipating a 75% growth each year in the next four years, with new Retail Stores as well as new offices in Europe, China, and the U.S. To secure our Vision and this growth - we need to strengthen our People & Culture Team with a highly structured and hands-on Office Manager for our Gothenburg HQ.
As an Office Manager, you will be responsible for the general operation of our office and to keep things running smoothly. The Office Manager will be part of the group making sure the work environment is taken care of and our facilities representable and welcoming. To be a good fit for this position you should be a person who takes pride in creating a welcoming office, a good vibe, and an efficient and modern work environment.
You should be structured, well organized and keen on delivering a high service level, both in real life and via various digital platforms we use. The Office Manager will also be the "Receptionist"/first point of contact with visitors. We are an international company and office, so English should not be a problem for you, however this role demands fluent Swedish in writing and speaking.
The tasks will include but not be limited to:
• Purchasing office supplies and maintaining proper stock levels.
• Responsible for mail in the postbox and incoming shipments to the office
• Travel bookings admin/point of contact with the travel agency
• Organize conferences, lunch, dinner, internal event bookings
• Set up for company meetings.
• Main contact towards our landlord
• Main contact towards office suppliers and partners such as cleaning, recycling, sponsors, and insurance company
• Office fire safety and security admin
• Ordering and preparing workstations for new employees
• Maintaining and updating present workstations
• Coordinating internal sample sales and responsible for payments.
• "Receptionist"/first point of contact with visitors/candidates.
• Making sure that the kitchen, conference rooms and other common spaces are always presentable and clean.
• Supporting office move, planning and support.
• Making sure the Office is following all measures related to Covid safety.
• Main contact toward our IT partner when handling new/changing existent IT hardware.
As you probably figured, this is quite a broad role with great possibilities for learning and developing. However - it will also require a lot from you. Both in terms of skills within service, administration, and structure, but also when it comes to grit and taking initiative.
To be successful in this position you are attracted to continuous improvements and realize the importance of service management, structure and you should be self-going. You have a genuine interest in the "People and Culture" field and is looking for a workplace guided by Diversity, Respect, Openness and Passion.
In terms of more formal requirements, we expect you to have the following:
• At least 3 years of working experience with administrative tasks in a professional environment.
• Good knowledge of Microsoft Office
• Fluent in both written and spoken Swedish and English
• Good knowledge of Swedish is a bonus.
• A mindset that is curious, embraces change and want to develop yourself as well as the company.
• Previous experience from working with office management, suppliers
• Previous experience from working with administrative tasks, systems
• Previous experience from managing a reception
• Good knowledge of systems and digitalization
Driving license is a plus but not a most. This is a full-time position.
You will report to Director of People and Culture and be part of a small but growing People and Culture Department.
