The European Real Estate team is seeking an temporary Executive Assistant/Office Manager for its Stockholm office. The business environment The Carlyle Group has to offer is international, fast growing and will provide interesting opportunities for the successful candidate.
Position available from September 1, 2010 and up to 12 months.
Job Description
Office administration:
• Maintain/negotiate terms of contracts with suppliers and service providers
• Oversee/manage all office equipment and corresponding contracts
• Oversee/coordinate IT equipment/procedures with the IT department and external service providers
• In charge of office supplies (controlling stocks, orders, etc)
• Payment and recording of office invoices
• Preparation of cash requests
Secretarial tasks:
• Reception, filtering of incoming telephone calls for the office
• Diary management
• Travel arrangements
• Processing of travel expenses
• Preparing and coordinating signatures of documents with other teams in Europe
• Correspondence, fax, photocopies
• Filing
Qualified candidates should have:
At least 1-3 years experience working as an assistant, preferably within an international environment. Your professional skills include the ability to be creative and solution-driven. The corporate language is English and therefore an excellent level of Swedish and English - both written and spoken - is required. An excellent knowledge of the Microsoft Office package (Word, Excel, PowerPoint) is also necessary.
To suit the position you will need to have the following skills: an excellent level of organization, a great deal of rigor, have a good ability to communicate within an international environment, be an excellent team player, work autonomously and in a professional manner no matter what pressure you may be under.
