Become part of our Global Event team

You will be part of our Event team - today consisting of two dedicated team members - who manage the planning, coordination and execution of our events globally. We have high ambitions for our presence and attach great importance to these projects. The position is located at our head office in Stockholm and is a full-time position.
The event team manages around 130 clinical conferences and other global events annually. As one of our two event coordinators, you will have a central role in ensuring proper attendance at these meetings and trade shows.

Your role

You will work with a wide variety of tasks participating in all steps of the event management process. You will have close collaboration with your team members, the marketing team, sales directors in all markets and our external event agency. Some of the large corporate trade shows and events with a global audience require you to handle detailed project coordination as well as being present onsite during the shows. All activities will be performed in close collaboration with the Event Manager.

In this position, you will primarily work with the planning, execution and follow-up of major international trade shows as well as support our sales directors with their smaller regional meetings and trade shows. You will also be part of arranging customer events, meetings and webinars a few times a year of high importance. You will be required to monitor processes, negotiate with suppliers and report on the status of event budgets and results. You must be able to travel 3-4 times per year globally to attend some of the larger trade shows.

In this job, you will have a wide network within the various departments of the company as well as a lot of customer and supplier contacts.

Your main duties will be:

• External event coordination for trade shows, customer events, webinars and meetings.
• Scout and book premises, hotels, transport, restaurants, catering, staff and other logistics for the major trade shows and events.
• Communicate with the exhibition organizers.
• Communicate with the event agency.
• Internal communication related to the events.
• Manage guest lists, invitations, event registration and external communications.
• Administration and planning on an international level.

Your profile

As you will be involved in managing projects you need to be a self-starter with excellent organizational skills and the ability to pay attention to details. You also need strong time management skills with the ability to stay on schedule.
Computer skills are important, and we want you to have a passion for planning as that is what the role is all about.

As you will be working with external suppliers, you should have the ability to collaborate, communicate and negotiate with ease. You need to maintain effective working relationships to create successful events. You need to be able to effectively manage multiple priorities, solve problems while keeping up a good spirit. Social skills and a service mindset are must haves, to feel comfortable in this role.

Experience & skills

• At least 5 years of relevant experience, preferably in a variety of event management and marketing areas or other related work where you have run several projects independently.
• Good experience of collaborating and communicating with third parties and internal staff.
• Hands-on experience working during exhibitions and customer events.
• The ability to research suggested event elements.
• Good computer skills.
• Verbal and written communication skills in English.

It is meriting if you have experience of trade show planning, basic design, LinkedIn marketing, marketing automation and digital events.
