Job Description

The Associate Facilities is responsible for coordination and administration of the Access Control System and physical security policies and procedures. This position recommends project placement and migration plans that are consistent with internal customer needs, corporate goals, and real estate objectives. Work with internal groups to create project space plans.

Essential Functions/Core Responsibilities

• Interface with internal clients to determine project space requirements
• Verify floor plans with CAD technician to include details related to structural and civil engineering as well as mechanical and electrical systems
• Ensure reconfiguration design meets health and safety guidelines
• Coordinate with internal groups and outside vendors to schedule installations, maintenance activities, and repairs based on material availability and minimal impact to the business operations
• Manage scheduled installations by internal and external contractors during reconfiguration to avoid delayed timeframes and cost over-runs
• Gather quotes from outside vendors for building fixtures; generate cost comparisons with our vendors to evaluate each project and total cost saving potential
• Monitor day-to-day site operations of long-term third party contractors to ensure performance meets vendor service level agreement
• Coordinate with Procurement in gathering quotes from outside vendors for building fixtures, repairs, maintenance, and upkeep to evaluate each project and total cost saving potential
• Log, track, and submit vendor invoices for payment
• Provide a single point of contact within the facility for gathering or disseminating information concerning facilities-related issues.
• Periodically inspect the facility (at least weekly) to insure all areas are kept in a neat, orderly, clean, safe, and efficiently operating condition.
• Ability to organize and prioritize projects in a fast-paced, deadline-oriented and rapidly changing business environment.
• Monitor and enforce site-specific facility operations standards and processes (e.g., emergency procedures, facility initiatives, and security standards and processes). Maintain Service Contracts Ensure Building & Maintenance conform with local current legislation
• Raising PO's for all facilities purchases
• Maintain electrical & mechanical systems i.e. Intruder, Building Access, heating, AHU, etc.
• Provide input for annual budgets and manage site based projects
• Liaise with landlord in relation to landlord duties under lease agreements
• Ensure site Health & Safety and Policies & Procedures conforms to legislation
• Manage relocation/space planning in a timely manner
• Manage site based projects
• Supervise security

Candidate Profile
• Significant related experience
• Maintenance experience of the following systems: water, heating, air, electricity (including generators) security and IS systems
• Ability to perform basic trade activities such as plumbing and carpentry
• Good knowledge of Health & Safety Legislation
• Full professional English language proficiency
• Strong communication skills, both written and verbal
• Demonstrated ability to multi-task and meet timelines on deliverable
• Self-starter, sense of urgency, and works well under pressure
• Strong attention to detail
• Proficient in Microsoft Office
