We are currently looking for an Administratvie Assistant /Office Manager for a 2-3 month temp position to our international client within Asset Management, at their Nordic office located central in Stockholm. The Nordic Team is responsible for providing sales, marketing and client service to their Nordic clients

Job Purpose/Background:
The role of the Administrative Assistant/Office Manager is to provide administrative support to the Nordic team and undertake the office administration of the Stockholm office. The Nordic team is a busy team of 12 people and this role is vital to the smooth running of the team and of the Stockholm office. The Administrative Assistant will be the ?constant factor? at the Stockholm office.

The Administrative Assistant/Office Manager will work closely with the Administrative Assistants based in Copenhagen. The three will be providing cover for each other. The Administrative Assistant will report to the Business Manager for the Nordic Region.

Key Responsibilities:

Support for the team:

• Organise travel arrangements
• Process expenses (personal expenses and Amex expenses)
• Assist with scheduling of meetings, booking of rooms, equipment and refreshments
• Cover of telephones
• Ad hoc tasks.

Office management/admin:

• Ensure the office is tidy and appears professional at all times
• Ensure the office in functioning at all times including but not limited to stationery, printers, marketing material, catering, recycling, post, couriers, deliveries
• Coordinating visitors to the office.
• Other tasks as required

Skills & Qualifications:
• Extensive administrative experience from a professional organisation, preferably in the financial industry
• Strong attention to detail and still maintaining speed in execution
• Strong organisation, planning and time management skills in order to accomplish the tasks and meet tight deadlines
• Service minded and flexible. Enjoys working in a fast-paced, changing environment
• Quick learner, self-motivated and ability to work independently
• Strong interpersonal skills to work effectively with all levels and different cultures
• Excellent verbal and written Swedish and English skills
• Good Microsoft Office skills (Windows, Outlook, Powerpoint, Excel)
