Job description
The Office Administrator will be responsible for administrative support to the whole office. The position is located in our subsidiary in Uppsala/Sweden and limited for one year.
Your tasks are described in detail as follows:
First point of contact for all visitors to the office
Responsible for incoming phone calls as well as office mail
Supporting HR Management through coordination of the monthly payroll (payroll preparation, maintaining HR statistics such as holiday charts, sickness, overtime), keeping the local employee HR files and maintaining the data in our HR database
Supporting the Finance department in booking vendor and customer invoices
Preparing all statistics for Swedish authorities required according to Swedish legislation and submitting them in due time
Responsible for travel management as well as handling the travel expenses for all employees at Nordex Sverige AB
Responsible for the company cars including pool cars (coordination of delivery, hand over to Service or employees, returning vehicles to the lease company, etc.)
Responsible for equipment such as mobile phones and computers (order of new equipment, lost or damage replacements) as well as purchasing of office supplies
Personal Assistant to the Country Manager and assisting the management team in Uppsala when required
as well as other administrative tasks
In your position you will report to the Country Manager. Concerning the HR topics you will be in regular contact with Corporate HR Management located in the headquarter in Germany.
Job requirements
You should have completed a finance education at an upper secondary school and have several years of experience in Office Administration.
Beyond that you will have the following skills:
Flexibility and ability to deal with a significant number of items running concurrently
Self-motivated and committed
Ability to work in a team
Strong organizational skills and ability to set priorities
Excellent communication skills internally and with external customers
Confidentiality
Good knowledge of English (spoken and written)
Strong IT skills, especially MS Office (Word, Excel, Power Point, Outlook), experience in SAP is beneficial
