Job description
We are looking for an outstanding candidate with a secondary education that has worked approx. 5-10 years in a similar role. You have the ability to workindependently, proactively and take your own initiative. In your role you will do planning,coordination and organization of all supporting activities towards the COO of the Ascom Group and other assignedexecutives and managers and act as general support for any issuesthat arise. You plan Management meetings and propose agenda, take notes at themeetings. You handling of board matters for Ascom (Sweden) AB and Ascom Sweden(Holding) AB. It is very important that youfind joy in giving service, question to deliver the best andalways are one step ahead.

Theposition is based in Gothenburg and youreport in your role to the Manager Facility Management.


Responsibilities Organization of meetings, external conferences and major events in Gothenburg or any other location for the function Systems Plan agendas, and take minutes of management team meetings Assist COO and other executives with external and internal contacts Administrate departmental projects and run (often simultaneous) your own projects within the departments Administration of Intranet & SharePoint: publishing, updating sites for the departments Actively participate administratively in budget processes Responsible for dealing with external partners (e.g. hotels, conference centers, etc.) Administrating and filing of legal documents, contracts related to Ascom Sweden AB Streamline administrative procedures for Facility Management Arrange travel reservations and administration of profiles

Qualifications 5-10 years experience as Executive Assistant in an international environment Very service minded, structured and effective Strong communication skills and ability to deal with people at all levels from both internally and externally perspective You can work independently, make your own decisions, and set priorities You are analytical and good at finding creative solutions for the bigger picture rather than partial solution You understand how the business works and can drive work for improvement You have high integrity Good interpersonal skills and understanding of effective teamwork You have a very high stress level and have the ability to handle multiple ongoing tasks Good attention to detail, accuracy and the ability to critically review submissions Flexible and proactive Good ability to organize Very good knowledge in English and Swedish, both spoken and written is a requirement. German is a plus Very good IT-knowledge and Microsoft Office Preferablye experience in SharePoint
