Administrative Officer to European Centre for Disease Prevention and Control

Work Description
We are searching for a Administrative Assistant for our client, the European Centre for Disease Prevention and Control (ECDC) in Solna.

Task:
The person shall be requested to perform various tasks including:
• Providing independent and high level administrative and organisational support to the planning, implementation, coordination and follow up of the activities of two groups (ECDC migrant health task force as well as working group on EU enlargement and ENP countries); preparing briefings to senior management; organising coordination meetings with external partners; preparing agendas, transcribing minutes, preparing documents
• Performing duties of International Relations Officer; responsible for International Relations Section's internal and external communication efforts, including the annual development of the proposal for IRS communication activities; ensuring the timeliness of intranet updates, news items, coordination of monthly IRS Newsletter
• Organisation of non EU delegates visits, including both internal and external coordination, preparing agendas, receiving guests, taking minutes, other logistics;
• Other tasks as assigned by the Head of International Relations Section
• Organise and coordinate internal and external meetings , preparing agendas, transcribing minutes, reception of visitors
• Manage documentation for briefings and publications
• Respond to queries and request for information and documentation with a high level of service attitude, tact, discretion and confidality
• Perform various other administrative tasks as deemed necessary
• Excellent English skills
• High level of responsibility and ability to take initiative

You will get an employment as a consultant with Manpower. The assignment is to start from 15th of June until the end of the year with possible extension up to the total length of 12 months. The role is for full-time.

Competences and experience
These specific competences and experience are required for the current assignment:
• Experience working with non EU countries desired; knowledge of EU/ECDC procedures; knowledge of EU landscape and ECDC International Relations Section's role on that desired;
• Well-developed sense of diplomacy, tact, discretion and confidentiality;
• Excellent communication skills, both oral and written; strong interpersonal skills and ability to interact with people of all levels in an organisation;
• Excellent organisational skills, attention to detail, efficient way of working.

• Education at university level or other relevant post-secondary education, and relevant professional experience
• Excellent command of English; oral and written
• Thorough knowledge of Microsoft Office (Word, Excel, Power Point and Outlook)
• Excellent skills in managing documentation, preparing correspondence and other documentation
• Proven experience as an administrative officer, preferably in a multicultural working environment
• Ability to work under pressure and experience in organizing work and prioritizing accordingly, High level of responsibility and ability to take initiative.
