The Deputy Chief on Mission (DCM) at the U.S. Embassy are looking for a trained chef who is a flexible, highly organized, self-motivated, jack-of-all-trades who will bring a high degree of professionalism to event planning. This position is best suited to a natural host(ess) who is comfortable with a wide degree of latitude and creativity in making arrangements for events and/or guests. We are also looking for an organized manager and team-player, as this role requires a great deal of coordination and strong interpersonal skills. Cooking makes up roughly 20% of the responsibilities in terms of time, but this is still very important; therefore, the position is ideal for a chef who thrives in the "back office" aspect of the business as well as in the kitchen. MAJOR DUTIES AND RESPONSIBILITIES: Event Planning & Management 35% Makes all arrangements for breakfasts, luncheons, dinners, meetings, and receptions in coordination with the DCM, other Embassy staff, and third party groups. Works with the Embassy's Protocol Office on guest lists, table seating, and special food requests (vegetarian, allergies, etc.). Requires food and non-food shopping for the Residence (groceries for events, flowers, wine, etc.). Coordinates staff for events, scheduling Residence staff and hiring extra staff when needed. Occasional early morning, late evening, and weekend work. Prepares and submits representational vouchers for each event. General Management and Administration 20% Checks daily with the DCM on his/her needs. Acts as liaison between the DCM's Office and the Residence. Supervises Residence staff: one part-time housekeeper/server. Maintains good morale in the Residence. Monitors staff time and attendance, annual leave, and sick leave. Prepares and submits monthly official residence expenses. Prepares and submits quarterly tax reimbursement claims. Performs as a Chef for Events 20% Creates vegetarian and pescetarian menus, ranging in complexity from three course fine dining to buffet to hors d'oeuvres. Responsible for food purchasing, cleanliness, and efficient operations of the kitchen in connection to the events. Accounting15% Maintains the financial records of the Residence, including representational accounts as well as official residence expenses, tax reimbursements, and monthly financial reports. Monitors and reports petty cash fund to carry out duties (i.e., monthly bills, shopping for food, cleaning materials, wine, flowers, etc.). Prepares and submits monthly financial report. Organization/Maintenance of Residence 5% Submits work orders to the Embassy's Facilities Management Office and/or General Services when maintenance crew is required to perform maintenance and/or repair work at the Residence. Submits procurement orders through the Embassy's General Services Office for any larger household or event procurement needs. Consults with the Embassy's Regional Security Office regarding basic security issues including those pertaining to visitors and guests to the Residence. Works with the Embassy's General Services Office to conduct annual inventories. Performs other duties as assigned 5% Backs up other staff as needed to ensure hospitality and presentation for representation and other events. May be required to assist at Chief of Mission residence. Receives and accommodates personal guests to the Residence.
QUALIFICATIONS REQUIRED: All applicants must address each selection criterion detailed below with specific and comprehensive information supporting each item. Education: Completion of secondary school and culinary school. Prior Work Experience: 3 years of previous experience in a similar position in a hotel, restaurant, similar institution, or private residence. Language proficiency: Level 3, Good working Knowledge Speaking/Reading/Writing English is required. Level 3, Good working Knowledge Speaking/Reading/Writing Swedish is required. Skills and abilities: Must have good knowledge of vegetarian and pescetarian cooking; good working knowledge of Microsoft Excel and Outlook; good working knowledge of bookkeeping and accounting; basic knowledge of Human Resources practices; an understanding of Swedish as well as American protocol policies; excellent diplomacy and interpersonal skills; must be flexible and be able to manage events, a household, and staff with a quickly changing agenda.
