Its objective is to strengthen democratic institutions and processes. It works together with policy makers, governments, UN organizations and agencies and regional organizations engaged in the field of democracy building.
International IDEA produces a wide range of publications every year, ranging from handbooks, and country reports, to policy papers and policy briefs on issues related to democracy building, elections, political parties, gender and political participation. IDEA's publications office manages the Institute's publishing programme.
The main functions of the post
To implement the day-to-day processes required to produce publications according to the established timeframes and relevant guidelines and procedures
To develop budgets and associated timelines for the production of IDEA's print and electronic publications
Also, depending on the needs
Assist in the development and implementation of institutional guidelines and procedures
Assist in the implementation of the Institute's communications strategy in relation to the dissemination of publications
Duties and Responsibilities
Under the immediate supervision of the Head of Communications, the incumbent performs the following duties
Prepare detailed plans for the production of each publication, giving timelines for the different stages of production such as text generation, peer review, layout, printing and delivery
Procure consultancy services for the different stages of production, including designers, editors, proofreaders, translators, illustrators, photographers and printers
Prepare and manage contracts and terms of references as well as coordinate payments for external consultants working on publications production
Coordinate permission for organizations and individuals to reproduce or translate the Institute's publications
Manage the publications office's budget, as well as the production budgets of each publication
Provide advice to the Institute's regional offices on the different stages of production.
Understand and implement guidelines to protect the intellectual property rights of International IDEA's publications
Oversee the development and maintenance of IDEA's publications database, including the publications on line sub site
Qualifications and Required Skills
Education
University degree in publishing, languages, communications or a related subject with English as a principal language.
Professional Experience
Minimum of 3 years professional experience in publication production processes and editorial systems, preferably in the Development field
Functional Competencies
Good understanding of the technical aspects of producing and printing publications, as well as good knowledge of publishing software.
Excellent project management and co-ordination skills.
Ability to set and meet stringent deadlines
Experience in developing and implementing publishing and dissemination strategies
Deep understanding of copyright and intellectual property laws and principles
Effective analytical and problem solving skills. Proven ability to execute ideas as well as transfer knowledge and skills
Strong interest in the practical and theoretical aspects of democracy and its role in development, human security and international relations
Experience in working in an international and\or intergovernmental organization.
Excellent people management skills
Good knowledge of web management systems.
Languages
Excellent communication (written and spoken) in English
Knowledge of Spanish, French, Arabic an asset
Computer skills
Sound knowledge of Microsoft Office
Good knowledge of layout programmes and tools used in the publishing industry.
