hela Sverige We are currently looking for an ambitious and result driven Operations Coordinator within Technical Documentation to Intertek Medical Notified Body AB.
The Notified Body within Intertek is accredited to certify companies according to the EU Medical Device Directive (MDD). Reviewing documentation, assessing products, performing quality management system audits and unannounced audits are part of the certification and the Notified Body's department.
This role has accountability to ensure the Notified Body activities related to Technical Documentation are allocated, managed and delivered according to plans.
Your responsibilities will include
• Manage the allocation and completion of Pre-Assessments of Technical Documentation in a timely manner.
• Using the Global Competence Matrix - Plan, allocate and schedule client Technical Documentation to appropriate Product Assessor/Product Specialist (Technical Assessor) for assessment in accordance with Technical Plan including Independent Review and Certification Authority as needed.
• Correspond with clients as needed in respect of the scheduled assessment activity.
• Maintain all scheduling tools, forecasting tools and client files, and ensure each are updated frequently and up to date.
• Ensure planned assessment commitments are maintained by assessors to ensure a quality service to the client and on-time deliverables.
• Ensure the latest and relevant assessment information is at hand for the assessor and the client.
• Hold regular 'assessment project review' meetings with Assessors, to ensure all relevant information is up to date, identify risks and devise next actions, if required.
• Participate in Assessor Team calls, and Assessor Conference as needed.
• Interact as needed with internal departments to provide clear status reports on assessment progress
You will be working in close collaboration with another Operations Coordinator and together you make sure that all TD Assessors are fully utilized and that you fulfill related KPIs.
This role is a full-time position and office based in Kista, Stockholm.
Your profile
• To be successful in this role you should possess 3+ years' experience in a similar role involving coordination and planning/scheduling. We also see that you have previous experience of working in a regulated environment preferably within the Health Science industry.
• You are a proactive person taking ownership & accountability for delivering results; builds trust in relationships and shows respect for others. You process information quickly and are good at identifying key challenges in complex situations.
• You will be part of an international team, so it is important that you are fluent in English and that you are used to manage your own workload and operate without supervision.
