Working as a member of the centralised HR Services Team in-country, we are looking for an efficient and detail-oriented HR Administrator to support the broader team and maintain the employee file room.

In this role you will support our team with general administrative/coordinator activities, maintain accurate employee personnel files and hard copy documentation, and support general HR Administration tasks as required.

Overall our team's objective is to provide efficient process execution, effective query resolution and accurate HR data in support of an excellent customer experience.

The HR Services function is a global HR function who is responsible to ensure the provision of effective and efficient HR service delivery. Parts of the HR service delivery are outsourced and the complex transactions and demand organization are retained within AstraZeneca. We make sure to get the basics right!

The role will be based in Sodertalje and is reporting to the HR Service Delivery Lead based in Södertälje.

Main Duties and Responsibilities

Team Administration/Coordination
Effectively coordinate internal and external meetings including scheduling meeting times, booking rooms, ordering food, and ensuring that various meeting amenities and teleconference requirements are provided
Complete accurate monthly expenses reports for submission using internal expenses system
Prepare and create purchase orders as needed for all payables to vendors
Make travel arrangements
Order supplies, office equipment for the team and manage invoices as required
Plan, organize, and schedule own workload through system maintenance so that all activities are completed accurately and on time in line with team requirements

HR Administration Support
Provide support to My HR Advisory teams, HR Data Management, Payroll & Time Team
Support other HR Services team members as required in executing processes across employee administration, new hires/leavers (e.g. ordering computer and other hardware), time and leave, or payroll and benefits
Prepare hard-copy documentation as needed

Documentation Management
Administer personnel files, following established processes for new hires and terminations
Manage current and historical personnel file requests
Participate in SOX testing, ensuring compliance with documentation
Retrieve mail, sort and deliver. Ensure all mail is appropriately delivered and if not, take action to correct
Maintain file room in orderly fashion and consolidate as required

Essential Requirements
Services minded with a "can do attitude" - dedicated to providing good service with a customer focus
General office management/administration experience, including scheduling, travel, invoices/expenses, etc.
Understanding of HR processes and transactions, ideally within Workday
Keen attention to detail and focus on data accuracy while managing multiple projects/tasks simultaneously
Demonstrated ability to use Microsoft Office products (Word, Excel, Outlook, PowerPoint, SharePoint, etc.)
Able to communicate fluently in English and Swedish
Ability to manage competing tasks efficiently and prioritize workload within a matrixed team environment
Enjoys working as part of a lively and hard-working team, performing together under pressure to meet monthly payroll deadlines
Highly developed communications, organization and interpersonal skills
Proven ability to maintain highly confidential data
Ability to learn and apply new technologies and processes
