Key responsibilities
In the role of Executive Assistant, you will:
Manage projects and assist in communicating and orchestrating the Area strategies.
Provide ad hoc assistance related to department projects to other initiatives.
Be a trusted partner in culture and team development.
Manage and initiate Management Off Site meetings and ensure proper content and teambuilding.
Keep track of the Area Leadership Management Team's action plan and deliveries and assist with general documents.
Build and manage content for Town Hall or other communication initiatives with PPT.
Arrange programs, events, or conferences by procuring facilities and caterers, issuing information or invitations, coordinating speakers, and controlling event budgets.
Prepare and make material ready for meetings/events.
Direct preparation of records such as agendas, notices, minutes and resolutions of corporate meetings.
Manage the appointment calendar and independently schedule appointments.
Screen incoming calls and correspondence and respond independently when possible.
Manage Travel Expense Management and travel coordination for the leader or multiple leaders in the department.
Manage and build Org Chart and maintain Teams sites.
Office Supply and inventory Management.
Coordinate charitable contribution programs.

We are looking for
We are looking for someone creative, solution oriented and not afraid to take the lead!
We believe you are a seasoned Executive Assistant with 5 years of experience in an executive support role or similar. You have strong communication and multi-tasking skills. You are agile and possess the ability to modify important changes rapidly. You are used to collaborating and able to exchange and adapt skills when working together across boundaries.
We believe the right candidate can build and develop the role further within project management.
To be successful in this role, you bring the following experiences or competencies:
A positive attitude and interest in establishing effective working relationships in terms of presentation, hosting, preparation with senior management and other appointed officials, business leaders, board members, and others encountered in the course of work.
Proven communication skills in English, including strong typing and proofreading skills. In addition to English, professional working proficiency in Swedish is necessary in this role.
You possess excellent interpersonal skills and ability to communicate on all levels, maintain integrity, and embodies a positive attitude.
You are used to using a high degree of tact, discretion, and diplomacy in dealing with sensitive situations and concerned groups and/or individuals and commit to practice a high level of confidentiality and compliance.
You are detail oriented and able to prioritize and multitask.
You have the ability to expand this role beyond responsive support, to proactive contributions and ownership for administrative tasks.
You enjoy working in a team as well as independently.
You bring outstanding administrative and organizing skills, as well as excellent knowledge and working experience in Microsoft Office. It is a benefit if you are skilled with social media, but not a requirement.

In this role, responsibility, accountability, and ownership are essential parts, and we therefore believe you can set plans, follow up and keep people informed. Related to this, you:
Work independently in setting priorities, excel in time management, and can work efficiently and effectively in a fast-paced, deadline-driven, high-pressure environment.
Have the ability to anticipate and take initiative to manage or collaborate in budget oversight and event coordination.
Have experience in running events such as townhalls/offsites and socials.
