The company requires an Office Manager to ensure the smooth day-to-day running of all office facilities and administration requirements and to be the local contact person between employees and Human Resources. This role is ideal for an experienced Office administrator/Human Resources assistant, looking to diversify their career within facilities, office administration.
You will need to be articulate and energetic with a â'can do' attitude and wish to immerse yourself into the operational dynamics of a successful and rapidly growing company.
You will have a customer-focused outlook, excellent communication skills, both oral and written, strong organisational abilities and excellent attention to detail. You should be efficient, adaptable and capable of working on your own initiative in carrying out your day-to-day tasks with limited need for supervision.
The prime responsibilities for the position are to co-ordinate office facilities, co-ordinate HR tasks, provide administrative support and over-see reception provision.
The position is based in our office in Östermalm in central Stockholm.

Dina arbetsuppgifter
• Provide a single point of contact regarding all reception, office and facilities matters and react appropriately to queries raised;
• Support Area Manager with ad-hoc administrative projects or assistance with meeting planning and travel;
• Facilitate communication between the Amsterdam and other BOOKING.COM offices;
• Updating HR team in changes in employee personal information;
• Support HR team with recruitment administration, short-listing applications and organising interviews;
• Responsible for the Work Environment Group -co-ordinating this group with the Area Manager;
• Working together with HR Services on the monthly payroll;
• Administering employee benefits (pensions, well being);
• Manage all office/facilities supplier relationships including, building landlords, maintenance contractors, cleaners, office furniture suppliers, IT/PC equipment and telephone suppliers, building security, photocopier/printer maintenance and coffee-machine maintenance;
• Handling all incoming invoices, travel expenses and credit card statements and forward them in due time to the Accounts Department in Amsterdam for transferring;
• Assist with organization of tradeshows, training venues, meeting rooms in local hotels, company parties and team building activities when requested;
• Maintain accurate floor plan and allocate desk space to teams (e.g. new starters) ensuring that all parties are in agreement and co-ordinate any office moves;
• Assist with the co-ordination of facilities for all new starters including desk allocation, PC/laptop, phones, email accounts and office security cards/keys;
• Responsible for Health & Safety in both offices: conducting risk assessments, chairing H&S meetings, co-ordinating training of Fire Marshalls & First Aiders, informing visitors; inductions for new starters, and overseeing general H&S requirements in all offices;
• Other tasks of support might be applicable.
Vem är du?
• Relevant qualifications in Office administration, Human Resources or other;
• Proactive and positive attitude;
• Relevant experience in a busy office environment;
• Excellent multi-tasking, project management and organisation skills;
• Communication skills (written and verbal);
• Word processing skills with Intermediate/Advanced knowledge of Microsoft Office (Word, Excel, PowerPoint, Outlook);
• Ability to work without close supervision;
• Knowledge of Swedish or another Nordic language;
• Fluent in English;
• Knowledge of Finnish is an advantage;
• Knowledge of local employment law is desirable.
