The wholesale coordinators main responsibility is to ensure that all our partners are given the correct information in regards of their orders and that the company delivers on promise.
As a wholesale coordinator you will be working within the wholesale operations department but will be in contact with other internal department such as Wholesale sales, finance, production and marketing.
It will be your responsibility that all internal departments are aware of their duties in the wholesale process on the wholesale departments behalf. You will be working towards a smooth process and routine system that will offer our customer a transparent and easy order/delivery process and that they will get the necessary information in regards of their orders.
Responsibilities
Sales
• Assist with prospecting and vetting potential accounts
• Assemble and confirm customer orders in the wholesale systems and coordinate purchase with production.
• Plan production lead time and inform vendors about delivery schedule
• Maintain and build relationships with clients. Follow-through with customer service and pro-active in-season selling is essential
• Coordinate wholesale returns, cancellations and claims and any associated credit notes or stock allocation.
• Support, if necessary, in the scheduling of customer showroom appointments
Logistics and Administrative Support
• Maintain and update contact list and customer data for all customers in all systems.
• Import orders in to ERP and secure correct order release data (inco/payment term, external order references, pick & pack instructions etc.).
• Manage the order release process and wholesale stock allocation.
• Communicate effectively with internal departments, customers and partners around the world.
• Ensure all customers sign up to and adhere to the company terms and conditions including payment, delivery and discount terms.
• Coordinate photo samples for relevant clients and general sample requests alongside PR Coordinator
• Liaise with both internal and external logistics team to ensure a smooth and correct delivery process.
• Expediting the customer delivery process and highlight/communicate any issues arising from our shipping performance.
