Volvo Group IP is driving the creation and use of intellectual property for the complete Volvo Group. The department is led by the Vice President Volvo Group IP with the Group Director Patents, the Group Director IP Strategy & Portfolio and the Group Director IP Legal, Trademarks and Designs, together forming the Volvo Group IP management team. The Group Directors, and a local manager, lead three highly specialized and competent teams, located on different sites globally.
You will be reporting to the Vice President Volvo Group IP and be located at Volvo Group Headquarters in Gothenburg together with about 30 colleagues in the department.

Job content

As Assistant to the Vice President you will be supporting also the Volvo Group IP management team, the Group Directors as well as the department with various administrative tasks. You will be the key point of contact for the department when it comes to administrative matters. Within the department there are already dedicated IP administrators and your main focus will thus be general administrative tasks, not specifically linked to IP.

You will be responsible for:
Planning and organizing regular Volvo Group IP management meetings, preparing material and agendas, writing management minutes, organizing and storing of documents
Prepare presentation and training material relating to Volvo Group IP management team's activities (including Volvo Group IP department meetings and conferences)
Organize and follow up on actions lists for Volvo Group IP management team;
Keep updated employees lists and organization charts
Provide administrative support to Vice President
Provide administrative support to Group Directors
Handling of supplier orders and invoices, as the case may be, using Volvo Group financial systems, as well as handling and organizing supplier relationships, including invoice instructions, as instructed
Acting as ambassador for Volvo Group IP; including onboarding new employees and consultants, coordinating and supporting Volvo Group IPs internal and external activities (such as trainings, events and conferences), coordinating Volvo Group IPs communication plan, including providing support in internal communication (updates of internal communication platforms, relevant IT tools etc), coordinating updates of Volvo Group IPs documents/processes/guidelines etc.

We also believe you have:
Excellent communication skills
Excellent English skills; both verbally and in writing
Excellent computer skills; word, powerpoint, excel, Skype etc
Relevant education and experience from similar positions; experience from previous work within IP or legal is a merit but not a must
