The MAX Access & Collaboration group plays a crucial role in managing and supporting the interactions between MAX IV Laboratory and its users.

The User Office team works with core aspects of MAX IV, managing the academic submission and review process and serves as one primary point of contact for scientists who wish to use the MAX IV facilities.

The User Office works in close collaboration with the entire MAX IV organisation to continuously supports the development of the MAX IV offering, from new access forms to keeping internal processes and system up to date.

MAX IV is looking for an experienced, dynamic and well-organized coordinator with keen analytical skills to join the User Office. As User Access Systems Coordinator in the User Office at MAX IV, you will play a key role in supporting and maintaining the systems and processes that enable scientists from around the world to access one of the world's leading synchrotron facilities.

You will work close to both operations and development, collaborating closely with the User Office Team Lead and colleagues across the organisation. The role combines system-oriented work, coordination and quality assurance, and offers a unique opportunity to grow with the User Office as MAX IV continues to evolve its user access models and digital infrastructure.

Your main work tasks will be

- Act as a primary point of contact, drive the maintenance process, conduct basic testing and quality assurance for the MAX IV User Access system (DUO)
- In close collaboration with the User Office Team Lead, act as an operational stakeholder in both ongoing and upcoming projects and activities. Supporting the development and implementation of the next generation DUO system will be a major activity in the coming years
- Organize, create and review documentation and communication where necessary
- Produce and support the compilation of user and access statistics for internal follow-up and external reporting
- Collaborate with internal stakeholders to ensure that updates and changes to systems and processes are clearly communicated and consistently applied.

To be successful in this role you need to have the following qualifications

- Technical Skills: Demonstrated experience working with complex IT systems or digital solutions in an operational or coordinating role, such as system administration, testing, quality assurance, or user support
- Communication Skills: Strong verbal and written communication skills. Experience with collaborating with diverse stakeholders. As you will communicate mainly in English, with highly educated scientists, you need to demonstrate a very high proficiency
- Organizational Skills: Ability to work independently, manage several parallel tasks, and adapt to changing priorities. Proven experience in organizing, maintaining, and improving documentation or guidelines.

Below are seen as merits

- Experience from working at a large-scale research infrastructure such as a synchrotron facility
- Basic understanding of IT Service Management principles (e.g. ITIL or similar frameworks)
- Experience from project management or as a key project member
- Administration and/or coordination in an academic environment or similar experience from IT services. Including, but not limited to, experience and proficiency working with Excel and other Microsoft programs/applications
- A higher education diploma from a relevant field
- Oral and written proficiency in Swedish.

You are quality-conscious, service-oriented, and comfortable taking responsibility for your own work. You contribute to continuous improvement by identifying issues, suggesting solutions, and supporting implementation together with colleagues.

MAX IV is a Swedish national large-scale research infrastructure hosted by Lund University. It provides scientists from Sweden and abroad, with intense x-rays and state-of-the-art instrumentation for research in areas such as engineering, physics, structural biology, chemistry and nanotechnology.
