Do you want to be in the heart of things?

We are looking for a competent professional with great people skills, time-management and multitasking abilities who will assist the Managing Director Nordics/Baltcs and her executives and contribute to the efficiency of the overall business by ensuring that all assigned administrative duties are carried out timely and effectively. In the Nordics/Baltics our Client currently has 26 employees and work within a fast-moving and dynamic Environment and have approx 8000 employees worldwide.

Key Responsibilities:
• Business Support: Fully support the Managing Director and executives with business support such as maintaining executive 's agenda and assist in planning appointments, board meetings, attending meetings and keep minutes, prepare presentations or reports as assigned.
• Management and organization of events: sales conferences, exhibitions, congresses, training events, Scientific Advisory boards etc in alignment with Marketing. This may involve being on-site to co-ordinare the meeting event. Responsible for local agreement for hotel and travel agencies.
• Office Management: monitor office supplies and negotiate terms with suppliers to ensure the most cost-effective orders, performing accounting duties such as provide assistance in bookkeeping, payroll and expenses in alignment with Finance, make travel arrangements, receive and screen phone calls and redirecting them when appropriate, handle confidential documents ensuring that they remain secure, maintain electronic and paper records ensuring information is organized and easily accessible, handle and prioritize outgoing/incoming correspondence (e-mail, letters, packages etc) performing general everyday administrative tasks necessary for the efficient running of the business.
• Support the Nordic countries commercial teams: induction of new employees, training, monthly reports and presentation material upon request.
• HR Administration: recruitment, onboarding, terminations, holiday approvals, rolling out HR corporates processes and activities, generate and update policies as required, manage HR reporting in HR system Cascade for the Nordic/Baltic region, IT-supper user for HR system Cascade
• Project Coordinator for defined projects
Localisation of position: Office-based, Kista, Stockholm

Qualifications:
• >3 years of working experience in similar administrative roles
• In-dept knowledge of office management and basic accounting procedures as well as technical vocabulary of our industry is desirable
• Degree in business administration or relative field is desirable
• Proficient in MS Excel, Word and PowerPoint.
• Excellent written/oral communication in Swedish and English
• Driving licence highly desirable
