Within the Embassy of Canada to Sweden, the Foreign Policy and Diplomatic Service (FPDS) advances Canadian foreign policy priorities in Sweden and reinforces the Canada-Sweden diplomatic relationship. Our mandate is to advance Canadian interests on a vast array of files through diplomacy, the development of foreign policy advice and programming via the following seven core services:
Information and Analysis
Policy Development
Policy Integration
Advocacy
Access
Program Delivery
Visits Guidance
The position is a senior administrative-support level position of the FPDS Program. Tasks include:
Organizes and coordinates administrative and logistical arrangements for events such as panel discussions, receptions, and cultural diplomacy activities, as well as official visits.
Researches information related to a range of subjects of interest to the FPDS program at the Embassy. This may include reviewing news media, and analyzing radio and TV broadcasts (often in Swedish) to track references to Canada and to learn more about recent local political/economic developments.
Coordinates clerical and administrative processes and functions such as making travel and accommodation arrangements, scheduling meetings and appointments, and assisting with events hosted at the embassy.
Processes payments, maintains records of expenditures, receipts, disbursements and fund balances, and provides related reports.
Tracks, controls, monitors and reports on the program budget in support of initiatives and program events/projects at the Embassy.
Provides input into communication strategies, develops and posts social media content, and provides media monitoring and reporting for all services of the FPDS program on both regular and social media.

ESSENTIAL QUALIFICATIONS
Candidates will initially be screened against the Essential Qualifications relating to education, language and experience. Candidates must clearly demonstrate when applying to the position how they meet each of these essential qualifications.
Education: Candidates will be required to provide proof of the completion of their education. Bachelor's degree or equivalent (diploma combined with relevant professional experience).
Language: Fluency in English (oral, reading and writing)
Experience: One year of office experience, including experience of general administrative principles and standard office procedures and practices (i.e. drafting routine correspondence, managing Outlook calendar and agenda, contact management, e-mail and telephone etiquette, organizing meetings or events, etc.).
RATED REQUIREMENTS
The Rated Requirements are part of the essential qualifications and are relating to knowledge, abilities and competencies. Methods of assessment for rated requirements may include, but are not limited to, a written examination, an oral interview (online pre-recorded/live or in-person), role-play, practical tests, presentations and/or psychometric assessment.
Knowledge: Knowledge of sound information management practices. Knowledge of Microsoft Office (Outlook, Word, Excel) and general use of the Internet.
Competencies: Thinking things through, Initiative and action orientation, Written communication, Working with others and horizontal leadership, Resilience and adaptability.

Asset Qualifications: Preference may be given to candidates who meet these. Where applicable, candidates must clearly demonstrate how they meet any asset qualifications.
Working knowledge of French (oral and written)
Working knowledge of Swedish (oral and written)
Master's degree
Knowledge of the Swedish political context
Experience working in a diplomatic mission, government office or agency, international organization or international non-governmental organization
Experience with social media, especially Facebook and Twitter
