Secretary/Administrative Assistant to European Centre for Disease Prevention and Control
Work Description
We are searching for a Secretary for our client, the European Centre for Disease Prevention and Control (ECDC) in Solna.
Task:
The person shall be requested to perform various tasks including:
• Meeting organisation and logistical support: Take minutes at weekly Section meetings, prepare the budget, preparation of badges, coordinate the requirements of the meeting (technical, logistics etc.).
• On-site support: Assist the delegates with any support they might need on-site during the meeting, coordinate interpreters and ensure technical services are in place. Ensure correct distribution of meeting material, documents, reports.
• Administrative support: Maintain the section's mailbox (outlook), maintain accurate lists of speakers, files and contact lists.
• Respond to queries and request for information with a high level of service, tact, discretion and confidentiality
• Draft and finalise correspondence and other documents, taking notes at meetings
• Manage electronic and paper documents (contract lists, mailing, typing, photocopying, scanning, filing and archiving)
• Perform any other task assigned by the supervisor
You will get an employment as a consultant with Manpower. The assignment is to start as soon as possible until end of June with possible extension up to the total length of 12 months. The role is for full-time.
Competences and experience
These specific competences and experience are required for the current assignment:
• Extensive secretarial experience in supporting of high-level meetings (particular logistics).
• Experience in dealing with delegates and meeting participants of top and upper management level.
• Excellent organisational skills, very good diplomatic skills, ability to cope well under pressure.
Strong sense of confidentiality.
• Excellent communication skills and ability to work independently as well as in a team
• Experience in organising meetings
• Experience in providing general secretarial support to teams, ideally in multicultural environment
• Post-secondary education
• Excellent command of English; oral and written
• Thorough knowledge of Microsoft Office (Word, Excel, Power Point and Outlook)
• Excellent skills in preparing correspondence and other documentation and experience in organizing meetings
• Proven experience as an administrative assistant/secretary, preferably in a multicultural working environment
• High level of service attitude, tact, discretion and confidentiality
• Ability to work under pressure and experience in organizing work and prioritizing accordingly.
