HR Administrator to IES Skellefteå

IES Skellefteå is looking for an efficient, service minded and bilingual HR Administrator to join our team in August 2023, part-time with possibility to increase to full-time, permanent with six months probationary period.

Our school opened in 2019 and offers outstanding bilingual education to around 450 students between grades F-9, and fulfilling career opportunities for around 65 employees.

HR Administrator responsibilities

• Act as a trusted advisor to the School leadership team on people-oriented matters by providing expertise, support and coaching in all aspects of HR management
• Being the first point of contact for employees on any HR related queries, communicating and informing regularly about HR related updates and information
• Collaborate closely with the School leadership team, Head Office (Northern Regional HR Director) and the Admin Team within the school
• Drive HR processes, policies and practices following the employee lifecycle
• Support the Principal with all HR matters: workforce planning, change management, career development and retention, annual performance review and salary revision processes, learning and development activities for the school
• Oversee all compliance and governance requirements related to people matters to ensure risks are recognised and mitigated effectively including reviewing and renewing school HR policies and legal compliance
• Ensuring the school complies with GDPR in the HR process, in liaison with the school Data Protection Contact Person, DPCP
• Owning the recruitment activities (job openings, screening of candidates and interviewing)
• Being responsible for the immigration process for international staff joining our school (collaboration with KPMG, initiating and overseeing work permit applications)
• Preparing, updating and maintaining employee contracts and employee related records
• Maintaining employee absence, such as sick leave, leave of absence, parental leave including reporting absences to the Payroll department
• Close collaboration with the Payroll department to ensure monthly correct employee salary payments of internal as well as cover staff members
• Assist international staff before arrival to Sweden and upon arrival with initial processes related to moving to Sweden (Försäkringskassan, Swedish personal number, Swedish ID, bank accounts)
• Responsible for staff on- and offboarding. Collaborate with the school leadership team as well as other key stakeholders, such as the IT representative
• Support the Principal with HR reports such as FTE reports, salary reviews and other staff statistics such as Educator Statistics, SCB and other HR KPIs
• Be responsible for HR related aspects of our systematic work environment processes

Who are you?

• You have knowledge of and share the values and ethos of the International English School *
• Experience from working in school is an advantage
• Administrative experience within HR or another regulated environment mandatory
• Knowledge of and experience working with Collective Agreements, payroll administration or immigration desirable
• You enjoy working in an international environment
• Fluent in English, knowledge of Swedish is an advantage
• You are passionate about development and a collegial approach
• Good ability to interpret collective agreements, policies
• A sense of urgency and the ability to meet deadlines
• Good analytical skills
• You are outgoing and friendly, service minded and a true team player
• You are flexible, have a high sense of responsibility and work solution oriented
• You communicate effectively and are a good relationship builder
• You are driven and motivated and have excellent organisational skills to be able to prioritise and handle multiple tasks simultaneously
• You are quality-conscious, accurate, easy to work with and you enjoy working independently as well
• You take initiative and thrive in a fast-paced environment juggling multiple tasks
