YOUR ROLE

You will be working with different administrative tasks towards Sales Dept, and you will support this with specific tasks/responsibilities.

As this is a coordinating role a lot of responsibility will be placed upon you, as you a accountable for at lot of different areas corresponding and matchin



YOUR RESPONSIBILITIES

LN e-mail and calendar organization for Sales Director as above and travels.
Scan and read e-mails and alert SD of urgent/important/actions.
Call for meetings in SD's name and follow-up responses.
Meeting bookings with set-up of phone-in and the same time links.
Ordering travels, creating travel bills etc.
Invoicing, Travels, Archiving.
Support with creation of documents for pre-qualifications.
Bid Support with documentation in bid creation, structure, copy.
Bids-admin and follow-up on capture plans and actions.
Support with various sales related administration - both planned and ad-hoc:
Bids-admin and follow-up on capture plans and actions.
Bid Support with documentation in bid creation, structure, copy.
Support with creation of documents for pre-qualifications.
Invoicing, Travels, Archiving.
Various reporting: Order intake in BaaN, Narrative Reports, Monthly Reviews-MOR-support, Primavera report extracting, admin and follow-up of Sales meetings.
Customer visits and other customer related issues.
Planning of customer visits, setting up programs together with Sales Managers, bookings of venues, hotels, transport.
Fair preparations and participation.
Update of customer register in Mercury Lotus Notes Db.
Development and maintenance of supporting tools,e.g. structured Sales database.

QUALIFICATIONS

Minimum 2 years post school education focus on marketing and economy. Equivalent to Swedish Gymnasium or specific courses.
Work experience for more than 3 years on similar position. Min Bachelors in Engineering degree.
MS Office in full: Word, Excel, PPT.
Lotus Notes, both e-mailing and databases.
In addition, but not absolutely necessary: Visio software.
Structured computer skills in regard to creating structured and logical folder builds, understand work on server's etc.

YOUR PROFILE

Good understanding of the importance of 100% availability, professionalism, promptness.
Equally important is that you are quality and service minded, flexible, adjustable.
Also having a very proactive, curiosity mindset would go a long way, and would be seen as a plus.
Willingness to create best relief for Sales Director and Sales Managers in their daily work - with task suitable for position - and get the credit for it.
Fluent in English and Swedish.
