SIWI is now looking for a Programme Officer to support Partnerships and External Relations at World Water Week - the leading annual global event on water and development. The Partnerships and External Relations team drives the strategic development of financial, impact and in-kind support for World Water Week, the Stockholm Water Prize and the Stockholm Junior Water Prize.
To fit into this role, you need to be a master multi-tasker with excellent relationship management and communication skills and an eye for improving detailed administrative processes. You should be professional, attentive, and accurate and enjoy collaborating with people and organizations.
In this position you will work closely with the Head of Partnerships and serve as the key liaison between World Water Week's external multi-sector partners and internal teams to deliver the partnership program. Responsibilities include managing administrative processes such as contract approvals, partner conference engagements and invoicing, responding to partner inquiries, delivering partner benefits, reporting, and managing communications.
You should have excellent oral and written communication skills in English and be able to organize your work independently using tools, like MS Excel. If you also have previous experience in Customer Service, Sales, or Events, it is a big plus.
In 2022, World Water Week was held as a hybrid event with over 300 sessions, gathering 500 organizations and more than 5000 participants from 160 countries. Looking ahead, we plan to advance our offerings even further.
Key responsibilities
• Act as key liaison between partners and internal teams
• Deliver a detailed partnership program in close collaboration with the Programme, Logistics and Marketing Teams
• Ensure and coordinate processes and delivery of partner proposals, contracts/agreements, invoicing, budgeting, and reporting
• Manage timelines and comprehensive administrative projects and processes
• Communicate and collaborate effectively with internal and external stakeholders
• Respond to and deliver detailed partner requests in a timely and professional manner
• With Head of Partnerships, support the ongoing development and management of the World Water Week Partnership program
Key working skills
• Can work independently, proactively and be self-sufficient
• Learn and manage internal organizational processes systems
• Have solid teamwork and interpersonal skills
• Have experience with and enjoy customer service, sales, or events
• Native/fluent in written and spoken English
Previous experience:
Minimum 3 years' experience in an administrative role, preferably with advanced
administrative duties. Proficiency in Microsoft office programs (mainly Microsoft Excel) is an absolute must.
Type of employment:
Full-time position with a 6 months' probation period. Our Offices are located in Central Stockholm with an expected office attendance of at least 50% on a weekly basis.
Permission to work in Sweden is required.
