Summary of Duties:

The Office of the Embassy of Canada in Stockholm has a requirement to create a pool of individuals to work as Receptionist or as a Program Assistant, according to internal demand on an as-needed basis, as an Emergency Employee. The duties may include, for example:
• Receiving guests at the office's reception booth
• Operating the telephone switchboard servicing all the office's programs
• Administrative support functions
• Liaise with local government
• Other duties as required

Area of selection/Eligibility:

This position is open to individuals who are eligible to work in Sweden, who meet all of the essential requirements stated below, and whose applications are received by the closing date.

Essential qualifications

Education:
• University degree in a relevant field OR a high school diploma with at least five (5) years of relevant* work experience.

• Relevant experience is regarded as working in an administrative and/or policy support capacity and/or as receptionist.

Languages:
• Fluency in English (oral and written).
• Fluency in Swedish (oral and written)

Experience:
• A minimum of one (1) year of recent* work experience in providing administrative and/or policy support services and/or reception services
• Recent* experience in providing advice and solutions to internal and external clients

• Recent is regarded as within the last 5 years
Knowledge:
• Advanced knowledge of the Microsoft Office suite (Word, Excel, Outlook)

Ability/Competencies:
• Able to independently plan and organize
• Able to coordinate priorities within tight deadlines
• Able to analyze and interpret new information quickly
• Attention to detail and accuracy
• Able to communicate orally and in writing clearly, politely and effectively
• Flexible and handles work pressure well
• Professional integrity and good judgment
• Proven ability to work courteously and effectively in a team

Asset Qualifications

Preference may be given to candidates who have the following asset qualifications:

Language:
• French (oral & written)

Experience:
• Recent experience (within the past five (5) years) working in a diplomatic mission, a government agency, an international organization, or a multinational company

If candidates meet the factors listed in the asset qualifications they must also clearly demonstrate how they meet these factors in their covering letter.

Organizational Needs:

Operational Requirements:
• Overtime may be required occasionally
• Hours of work: Normal working week 37.5 hours (7.5 hours per day)
