The primary responsibility is to carry out tasks to support the SIPRI Director's agenda quickly, creatively and precisely. For this to be possible, along with displaying the requisite technical proficiency, the Director's PA maintains good and smooth working relations with all SIPRI's research, outreach and operations staff. The Director's PA is also responsible for administrative matters in support of the Governing Board.

The post of Personal Assistant to the Director aims at supporting the Director in all relevant administrative and management matters. The purpose is to ensure that the Director's agenda of work is well planned and executed. The Director's PA is an important and visible person within the institute, and also has a key role in external contacts.

The additional purpose of the post is to support the governance of SIPRI by acting as administrative focal point for the SIPRI Governing Board. This includes assisting the Governing Board Chair as well as the Deputy Director.

The main responsibilities of the Director's PA are to:
• Manage the Director's agenda;
• Support the Director in his correspondence;
• Plan and follow-up issues relating to the Director's agenda and on occasion engage in the implementation of the Director's decisions and initiatives;
• Act as Secretary to the Senior Management Team;
• Handle administrative matters related to the Governing Board and its members and assist the Governing Board Chair as appropriate;
• Assist the Deputy Director as agreed.

Like all staff, the Personal Assistant to the Director will play an active part in the collective life of the Institute.

The post of Personal Assistant to the Director aims at supporting the Director in all relevant administrative and management matters. The Director's PA has excellent technical skills and relates well with colleagues. S/he handles 'high-level' and mundane tasks with equal aplomb, takes direction well, shows initiative when needed, both grasps the big picture and gets the details right, is good at planning and comfortable multi-tasking.

When starting in post, the Personal Assistant should have as a minimum the following experience:
• Excellent written and oral communications skills in both Swedish and English (other languages also advantageous);
• 5 years or more of experience as a Senior Management Assistant/Executive Secretary, preferably from a position dealing with seniority within the public sector, politics or civil society, with excellence in all the requisite skill-sets.

As a person:
• Proven ability to be able both to work independently and to take initiatives;
• Highly organized and paying great attention to detail;
• Ability to grasp the big picture;
• Ability to deal professionally and at ease with people at all levels of seniority;
• Commitment to SIPRI's role and function (familiarity with the institute's area of work is a plus but not a requirement); and
• Cooperative, easygoing and flexible.

The Stockholm International Peace Research Institute (SIPRI) is an independent and international think tank, pre-eminent in its field. The Director needs an outstanding Personal Assistant to work with him and the recently appointed Chairman of the Governing Board, Jan Eliasson. The PA will be a person who is equally comfortable working with high level personalities and covering the basic administrative functions of the post. And everything in between.

Varaktighet, arbetstid
Starting from 1 November, or as soon as possible thereafter. The appointment will be permanent with a probation period of 6 months.

Ersättning
The salary package will be negotiated individually. Applicable collective agreement governing working conditions as vacation days, salary payments etc. is Villkorsavtal, between Arbetsgivarverket and OFR/S, P, O.
