About the role We are looking for a Payroll Specialist ready to take full ownership of end-to-end payroll for our Swedish operations. In this role, you will manage payroll for our largest company within Instabee Group with a dynamic blue-collar workforce.
Payroll includes employees with diverse schedules, from shift-based work to varying hours, and requires a strong understanding of Swedish collective agreements, preferably within the transport sector (Transportavtalet).
This is an opportunity for a self-driven professional to lead the payroll process independently, ensuring accuracy, compliance, and timely delivery while continuously improving processes and maintaining the highest quality standards.
You will work closely with your colleagues in the payroll team and internal stakeholders, proactively resolving payroll matters, providing expert guidance, and contributing to a smooth and professional employee experience across the organization.
Some of your key responsibilities

Manage end-to-end payroll for the assigned business area, including preparation, validation, execution, and post-payroll activities

Handle payroll calculations related to shift work and varying schedules

Ensure compliance with the Swedish transport collective agreement (Transportavtalet)

Ensure that payroll inputs such as salary changes, bonuses, absences, and deductions are accurately processed

Perform payroll reconciliations and controls to identify, investigate, and resolve discrepancies

Ensure compliance with Swedish payroll legislation, tax regulations, and statutory reporting requirements

Act as the main point of contact for payroll-related queries from employees and internal stakeholders

Maintain accurate payroll documentation and provide support during audits when required

About you
We are looking for someone with relevant education within payroll and 5+ years of hands-on payroll experience, who feels confident managing the full payroll process independently. You are a senior payroll professional who takes ownership, works proactively, and feels comfortable operating in a role with a high degree of autonomy.
You have experience working with complex payroll structures, including blue-collar employees, and are comfortable interpreting and applying collective agreements.
As a person, you thrive in a fast-paced environment where you can prioritize effectively and meet deadlines without compromising on accuracy. You are structured, detail-oriented, and efficient, while also being a collaborative team player. You take initiative, are solution-oriented, and feel comfortable stepping outside your comfort zone when needed.

Get to know us
In 2022, Instabee was founded after combining Budbee and Instabox - two leading last-mile delivery companies with three consumer-facing brands: Budbee, Instabox, and Porterbuddy. Instabee serves millions of consumers across Europe with convenient deliveries and is on track to become the leading European e-commerce enabler. Always with the consumer at heart.
We're fast, both in terms of parcel delivery and when it comes to growing our business. So far our journey has taken us from Sweden to the rest of Scandinavia and parts of continental Europe, but we have no plans on stopping anytime soon. As we continue to expand, the complexity of Instabee grows in parallel. With that in mind, we're now looking for you to help us on the journey ahead.
