We are looking for an outstanding Office Manager (OM) to ensure that the office runs smooth and staffers can focus on projects. The OM works closely with the MD's in the office as well as HR and assists with company events and similar. The Office Manager is also the first person visitors meet when visiting B-Reels office and therefore an important representative for us. The OM takes care of all the practical aspects of the office and should give excellent service both to people visiting or calling as well as employees.B-Reel is a Creative Agency for modern brands like Google, Storytel, Facebook and LVMH to name a few. We share offices with our sistercompany BRF - a film production company for the worlds most challenging advertising teams. B-Reel has studios in five cities. Besides Stockholm, we are in Los Angeles, New York, Barcelona and London. Our fantastic office is located in the heart of Södermalm. We are creative people working in a very dynamic setting with projects ranging from pure films as well as visuals to complex conceptual strategies.Tasks:- Be physically available and act as a host and welcome visitors, both external and from other B-Reel offices- Answer switchboard phone calls and screening external visitors entering via the buzzer- Keep the offices organized and presentable- Handle in- and outgoing couriers and mail and forward to the right person- Ensure that there are adequate office supplies, snacks, beverages, etc on all floors- Manage communication with IT-support and other technical equipment within the office (copier/printer, AC/heating, alarm and phone system)- Responsible for keys and security- Preparing coffee etc for meetings as well as other office gatherings including Monday morning meeting breakfast- Responsible for hiring extra help for parties etc, and substitute when being away- Working hours are 8.30-17.30 except for special occasions.- Responsible for office budget and keeping all costs within budget while keeping a high standard.- Own all parts within the office arrangements and parties/special projects and follow up to deliver on budget and to meet expectations.Personal competence:- Excellent social skills- Detail-oriented and very well-organized- Solid verbal/written communication skills in English as well as in Swedish- Ability to work independently and prioritize- Manage multiple tasks and successfully meet deadlines- Understand and respect privacy of employees and the company at all timesWe are an equal opportunity employer and value diversity at our company.
