We are looking for a competent, driven and service-oriented Office and HR-admin Assistant to run the daily administrative operations for our 60 colleagues at Looklet. We are determined to become Swedens most attractive employer, but in order for us to become so we need the right person to make sure our joined office space is up to date at all time. The job as an Office- and HR-admin Assistant encompasses a broad range of responsibilities to keep the office operations running.

Office management:

• Handle the front-desk and welcome visitors by greeting, welcoming, directing and announcing them appropriately

• Receive and sort daily mail/deliveries/couriers and answer incoming calls

• Monitoring and purchasing food, office supplies, office furniture (and assembling) and handling shortages

• Taking care of the office?s tidinessduring the day (kitchen, copy room, meeting rooms)

• Prepare basic breakfast and make sure it's always possible to get a warm cup of coffee

• Event planning (including internal and recruiting events until HR-Cooridator is in place)

• Travel booking and receipt management

• Assisting the management in ad-hoc requests

• Assisting in the ongoing office renovationproject and keep the work environment up to speed when done.

HR-Support:

• Applicant management

• Administrate the Organizational chart and keep it up to date

• Handle and answer incoming public service papers

• Compile and update employee records (hard and soft copies)

• Work environment (fire drills, making sure we are up to date)

• Assist with day to day operations of the HR functions and duties

• Maintain staff confidentiality at all times when handling HR-related topics.

Required Skills

• You are a prestigeless person that can help out in any part of the organization

• You have previous experience of similar work or experience in another service profession, preferably including administration

• As a person you are extremely service-oriented, driven and you see what needs to be done. You are careful and have a structured mindset

• You are used to working independently and to updating others about the status of your assignment

• You are used to multi-tasking, have excellent time management skills and ability to multi-task and prioritize work

• Prior experience of working with Microsoft Office is required for this role

• Excellent written and verbal communication skills. You should be fluent in both spoken and written Swedish and English

• You are available no later than beginning of June

Preferred skills

• You have a thorough understanding of office management procedures
• You have good analytical abilities and aptitude in problem-solving
• You have a substantial interest in fashion, photography, or in IT
