For our client in the global pharmaceutical industry, we are looking for Nordic Finance Compliance Administrator. The person who holds this position is required to engage in networking at different levels in local businesses, functions and at the European level which is Finance and Compliance groups primarily.

The client is based in Kista and preferred start date is in February, 6 months ongoing full-time employment to start with.

The responsibilities of the administrator in the area of Finance and the Finance and Compliance team are following:

• Quarterly EMEA Interactions Central Analytics
• Quarterly Travel and Entertainment (T&E) compliance and analytics reviews including documentation
• Nordic Grant Coordinator
• Nordic Sarbanes-Oxley (SOX) Compliance
• Nordic Pricing Contracts Communication
• Travel and Entertainment (T&E) training
• Grant training
• Daily and ad-hoc requirements

Essential Duties and responsibilities

Nordic Grant Compliance and Analytics Reviews

EMEA Interactions Central Analytics
Perform and document the quarterly EMEA Interactions Central Analytics reviews as issued by the EMEA Compliance Manager for all Nordic Countries. Current criteria for investigation are:
• Interactions with starting event dates before the final approved date
• Donations approved below the EMEA $5k threshold
• Interactions where spend is greater than the approved amount by more than 10% and $200
• Interactions approved over 12 months ago but not yet closed

EMEA Travel and Entertainment (T&E) Central Analytics
• Perform and document the quarterly EMEA T&E central analytics reviews as issued by the EMEA Internal Audit group

Grant Coordinator Nordic
Nordic Grant Coordinator responsible for the application of the company's interactions with Health Care Professionals Policy (IHCP)
• Maintain knowledge of each Nordic country’s local ethics and compliance framework
• Key user in the company's Grant system (PEGA)
• Communication/follow up with requestors/assistants
• Continuous support to grant originator

Sarbanes- Oxley (SOX) Compliance Nordic
• Assist in the Nordic review and documentation of Nordic SOX activities and templates

Nordic Pricing Contracts Communication Nordic
• Communicate official notices of tender contract results and new prices

T&E Training (Travel & Entertainment)
• Train new employees on the T&E reporting system
• Knowledge of local Travel Policy
• Knowledge of VAT rules related to tax deductibility of entertainment expenses
• Assist eSSC with local knowledge and updates of local travel policies

Grant Training
• Train new employees on the PEGA system
• Conduct regular refreshing training for employees on the IHCP and trends in local country ethics frameworks

Daily and ad-hoc requirements
• Daily interaction with and support to other team members, business analysts and functions to respond to questions, issues or concerns
• Close interaction with the other country accountants, Ireland Transaction SSC, nSSC Manager and Finance Director, Nordic
• Assist in other administrative support needed by the Finance department when needed

Utbildning/erfarenhet
• High School (with solid work experience) or University degree
• 3 - 5 years of work experience from either similar position in another company or a broad range of responsibilities preferably within an administration role
• Be able to communicate in swedish and english
• Experience from working in an international environment
• Experience from working in an control or compliance environment
• Ability to communicate and interact with various levels in the organization (levels can mean business or functions, job levels or countries)

• Ability to plan, organize and make decisions
• Team orientated
• Ability to achieve quality results on a timely basis
• Ability to work independently
• Ability to prioritize
• Ability to evaluate innovative/creative alternatives and pragmatic solutions to problems
• Be able to adapt to changing conditions
• Ability to communicate in English orally as well as in writing
• Ability to understand the other Nordic languages
• Contribute to a positive and cheerful working environment
