Provides administrative support for the Medical Director and the rest of the SP Nordic Medical team. Based in the Danderyd office near Stockholm, Sweden. Responsibilities include travel arrangements, expense reports, meeting support, invoice processing, and arranging appointments for filed based staff.
Responsibilities
• Performs administrative duties, which may involve exposure to highly confidential information
• Manages the schedules of those supported; schedules meetings and makes travel arrangements for department members, visitors, partners and vendors as necessary
• Accountable for meeting planning and organization; schedules attendees, books conference rooms, arranges catering, prepares presentations, compiles notebooks, meeting materials, handouts, etc
• Manages purchase orders and processes accounts payable invoices
• Prepares correspondence, spreadsheet reports and presentations as directed
• Attends department meetings, takes and distributes meeting minutes
• Provides telephone support; assumes responsibility for copying, faxing, and developing and maintaining filing systems
• Completes expense reports for senior members
• Provides back-up for other Administrative Assistants and Executive Assistants as required
• Maintains up-to-date contact lists for team members
• Arranges appointments for field based staff with selected healthcare professionals.
Education & Experience Requirements
• Educational requirements ? Swedish equivalent of (?A?) level preferred
• Fluent in speaking and writing Swedish and English language is essential and being able to communicate in the other Nordic languages, including Finnish, is desirable (bonus).
• Generally has at least 3 years of related experience in a similar position
• Experience of supporting senior level management
Key Skills and Competencies
• Extensive working knowledge of MS Word, MS Outlook (or equivalent).
• Advanced knowledge of MS Excel & PowerPoint (or equivalent).
• Experience with purchase orders and accounts management systems/software
• Experience with expense reporting systems/software.
• Requires strong attention to detail in composing materials, establishing priorities, scheduling meeting and arrange travel itineraries.
• Must be able to work in a fast paced environment with demonstrated ability to simultaneously manage multiple competing tasks and demands.
• Strong interpersonal skills; position continually requires demonstrated poise, tact and diplomacy.
• Must be able to handle confidential information and issues effectively and without breech of confidentiality
Complexity and Problem Solving
• Incumbent is responsible for prioritizing and scheduling workload
• Incumbent is able to identify invoices / purchase orders which appear incorrect
• Incumbent is expected to refer to a higher level those decisions which he or she does not feel able to make
