SIPRI is seeking a full-time (100%) Management Assistant. The purpose of the position is to contribute to the work and development of the institute by providing efficient operational and administrative support.
Tasks and responsibilities
The primary responsibility of the Management Assistant is to manage the Deputy Director's agenda, assist in planning and prepare her commitments and to engage in follow-up when appropriate. The Management Assistant will also support the Human Resources Manager with administrative and staff-related tasks. The position will also involve work on various outreach activities.
The main responsibilities of the Management Assistant are to:
• Manage the Deputy Director's calendar;
• Overview the Deputy Director's correspondence to ensure invitations, responses, networking opportunities and follow-up are well handled;
• Arrange meetings, visiting delegations and events;
• Assist the Deputy Director with the planning and organisation of events and other relevant administrative matters;
• Assist in the administration of Human Resources issues such as the logistics and administration of new SIPRI employees, interns and visiting researchers;
• Assist new SIPRI employees when moving to or from Sweden;
• Support SIPRI's outreach team during events and activities; and
• Reinforce existing and established SIPRI outreach initiatives in Sweden.
Like all staff, the Management Assistant will play an active role in the collective life of the Institute.
Eligibility requirements
The Management Assistant is a flexible, thorough and discreet person with a friendly personality and a solution-oriented attitude. S/he has an eye for detail along with a talent for multitasking and thinking ahead. S/he maintains a calm professionalism at all times.
When starting in post, the Management Assistant should have as a minimum the following experience:
• A university degree in a relevant discipline;
• Excellent written and oral communications skills in both Swedish and English; and
• 1-2 years of work experience from administrative work and matters of practical logistics.
Familiarity with SIPRI's research areas would be considered an asset but is not a requirement.
The Management Assistant should possess the following qualities:

• Maintain a calm and positive attitude when working in a fast-paced environment; and
