 Our customer is now looking for a Local Office Support Service Manager placed in Malmö with start ASAP.

You will work as part of the Global Office Support Services group, the Office Support Services Manager will proactively manage the local office environment, delivering both  the highest standards at all times to clients and staff, and continually managing local facilities costs to budget, ensuring best value to the company.

Principal Duties and Account abilities

• Manage the local office facilities ensuring a secure and high quality working environment at all times
• Proactively maintain ISO for office support services and identify improvements to both the facilities offered and service provided to both internal customers and visitors
• Budget - Manage all facilities costs to budget.
• Security - ensure access control is managed, dealing appropriately with visitors and leavers.
• Ensure the smooth and efficient running of the office facilities, managing equipment maintenance issues, stationery, vending and other office resources to meet staff and budget requirements. Liaising with contractors and third party suppliers to ensure a smooth and efficient operation.
• Local Travel Coordinator with dedicated travel agents.
• Undertake (ad hoc) administrative (incl. translation) support for business managers including Finance, HR(SS), GPSS like: controlling, scanning and sending invoices internally, marking codes and costs centers on credit card transactions, setting up blanket orders, chasing PO numbers on invoices and: forward the local information to GPSS for ADP's declaration as required
• Provide I-Procurement support for local managers. Process all I-Procurement purchase requests for payment in respect of office facilities.  Ensure correct coding. Chase late payments to ensure the business does not suffer any downtime as a result of non-payment
• Manage all meeting room bookings and facilities such as video conference.  Co- ordinate refreshments and equipment requirements, ensuring maximum utilisation. Ensure all rooms are kept to top class standards at all times
• Manage reception, including post, face to face and phone contact. Manage reception cover to ensure 100% coverage as per local requirements Manage.
• Responsible for office communication, ensuring Group communications and essential local information is communicated to the relevant people in good time and order. 
• Communicate and meet with employees, customers, external service providers, auditors, inspectors and vendors as required.
• Act as local contact person for the global HR team.
• Assist with aspects of HR administration, contact with local authorities, keeping of the local HR folders etc.
• Coordinate the delivery of all financial correspondence.
• Swedish translation assistance for all financial correspondence.
• Assistance with supplier queries, working with Accounts Payable and the European Financial Controller.
• Working with the finance team, assistance with regulatory reporting requirements for the Swedish office, including the filing of regulatory returns.
• Assistance in extraordinary renewals invoicing, working with the renewals team to resolve invoice issues and provide administration support for the renewals invoicing process.

Key Skills and Experience

We are looking for a person with excellent language skills, fluent in business English and local language, confident to translate and communicate in English and how has proven success in similar role.

Demonstrate a reactive and proactive customer approach, both internally and externally.

Proficient in the use of Word / Excel / PowerPoint and videoconferencing facilities.

Personal skills

It is important that you are service minded, positive, adaptable and able to manage own work load and be tenacious and driven to succeed on task delivering to an excellent standard.
