We are looking for a Facilities Receptionist

PURPOSE OF ROLE:
Ensure that a '5 star' customer focused faculties service is provided on site in accordance with the contract specification and agreed service levels. Develop and maintain a positive relationship with the Client, customers, building management team and contractors.

MAIN RESPONSIBILITES:
• Oversee the day to day running of the reception area
• Comply with both FMS and Client policies, legislation, internal processes and Health and Safety procedures.
• Coordination of building engineering requests and building maintenance/repairs.
• Emergency and security reporting.
• Provide and manage front of house services.
• Manage the meeting room bookings and catering ordering
• Carry out regular checks of meeting rooms within the office and ensure they are stocked adequately and correctly with the agreed items.
• Taxi and travel booking.
• Updating phone lists
• Ordering for the site including stationery and catering and business cards
• Post
• Purchasing - checking invoices and raising purchase orders
• Travel expenses
• Support to EMC events
• Carry out twice weekly building walks, log and follow up on any works required.
• Provide Switchboard services as required.
• Carry out daily cleaning inspections of high profile and customer facing areas.
• Liaise with sub contractors on a day to day basis with regards to their provision of services to the location.
• Coordinate the PPM schedule for contracts.
• Build and maintain strong, positive relationships with the Client, customers and vendors.
• Maintain and promote excellent customer service.
May hold some budget responsibility

JOB SPECIFIC RESPONSIBILITES:
• Demonstrate attention to detail and ownership of the process and service delivery
• To share site, client and operational knowledge with members of the facilities team.
• Continually support and promote a team working approach within the company and the various vendor teams.
• Ensure that the facilities support team and vendors comply with all company processes and procedures.

PERSON SPECIFICATION:
EXPERIENCE:
• Team player with good people interaction
• Able to manage difficult situations and relationships with diplomacy
• Able to work accurately with attention to detail and ownership of own work
• Excellent communication skills
• Positive approach and willingness to assist others to achieve overall objectives
• Working knowledge of health and safety legislation
• Willingness to make suggestions for process improvement
• Excellent IT literacy skills in MS Outlook, Word
• Intermediate knowledge of MS Excel
• Must have a smart appearance

KNOWLEDGE
• FM Processes
• Customer relationships

QUALIFICATIONS Desirable
• Educated to A level standard

SKILLS MATRIX

• Foreign language desirable but not essential
