Recruiting assistants help facilitate the international hiring process. These collaborative workers use high communication skills to manage a variety of functions related to recruitment, including reporting to the hiring manager and coordinating communication between job applicants.

Recruiting Assistant Duties and Responsibilities
You will be supporting the operations manager with various aspects of the hiring process. Key duties and responsibilities are listed below:

Perform Clerical Functions
Answering phone calls, scanning documents, and making photocopies is integral to the recruitment process. Ensure that all the necessary paperwork is filed and that applicant forms are completed and processed.

Schedule Interviews
Schedule interviews for up to 10 applicants a week. This involves coordinating schedules with applicants and interviewers, creating calendars, sending interview confirmations, monitoring inboxes, and reconciling interview cancellations.

Screen Applicants
As the first point of contact between applicants and the hiring manager, you will screen applicants before moving their applications forward. Review application material, read resumes and cover letters, and set up phone interviews.
Update Applicant Information
Perform data entry to input and update applicant information in the candidate database. Comply with GDPR in regard to the handling of the applications information.

Process Background Checks
Process background checks to verify applicant information and ensure that the minimum hiring requirements are met. Contacting references, screening for drug use, and checking for criminal background.

Skills and Qualifications
Organize, collaborate, work efficiently to make sure the hiring process is well planned and successful. Process 1 to 2 years of experience in the following areas:
• Customer service - greet interviewees and answer phone calls and emails, offering a high level of customer service to ensure a pleasant experience for applicants
• Recruitment experience - be familiar with interview, onboarding, and training processes
• Computer literacy - strong familiarity with social networking sites, job applicant systems, use applicant tracking systems, job boards, and social media to reach potential applicants
• Organizational skills - scheduling multiple interviews, be organized and efficient.
• Time management -work in a fast-paced environment where they are juggling multiple tasks. You need to have effective time management skills to help the operations run smoothly and on time

Tools of the Trade
• Job boards (ams.se, LinkedIn, Indeed, Glassdoor)
• Applicant tracking systems (Podio)
• Microsoft Office & Calendars (Microsoft 365)

Education and Training
Bachelor of Science Degree. Previous experience in human resources and recruitment is preferred.
