Our Stockholm office is looking for an energetic, professional and meticulous HR Coordinator / Administrative Assistant to help grow, manage and take care of our team and our office. Your focus will be assisting management in all HR matters, PR/events, creating and maintaining an exceptional office environment, and handling wide-ranging administrative tasks, including light accounting, travel bookings, vendor management and corporate housing management.
Key Responsibilities:
HR
• Recruitment, headhunting and coordinating tests
• Staff management, including development and documentation
• Salary and staff expense administration
• Benefits/insurance administration
• Visas, work permits and relocation assistance
• On-boarding of new staff
• Helping foreign staff familiarize themselves with Sthlm
• Prepare paperwork for Swedish government institutions
• Corporate housing management
Finance Assistance and Administration
• Invoice administration (AP and AR)
• Expense tracking and management
• Weekly meetings with accountant
• Receipt management
• Reporting research and assistance
Office Maintenance
• Keeping the entire office well-organized and well-equipped
• Preparing/opening the office for the day
• Maintaining inventory of all office supplies and equipment
• Office supplies and equipment
• Postal mail management
Office Hosting Services
• Receiving and directing incoming calls
• Receiving guests and making meeting preparations
• Managing office atmosphere
Administration/Assistance
• Bookings/reservations
• Managing vendors/suppliers, contracts
• Assisting managers and producers with wide-ranging tasks
• Research and reporting
Additional Considerations:
The position requires a high level of individual responsibility, professionalism and proactive drive. You must be able to anticipate and solve problems, see where improvements can be made, and be very service-minded. Your time-management skills are flawless and you are used to handling many different things every day. Communication and a professional, friendly manner is key, as well as impeccable command of the English language, both in writing and in speaking, as we do speak more English than Swedish in the office due to our clients and our international staff.
Experience Required:
• Excellent Swedish and English skills are required
• Knowledge of life in Stockholm is preferred
• HR degree is preferred
• 2+ years working in a staff management/HR role
• Proven administrative and personal assistance experience
• Experience in an agency setting is merited
This full time position (starting in October) offers a fantastic opportunity for a proactive and service minded person who is eager to develop their skills within HR and administration. In time, your tasks will involve less office management and focus more on strategic tasks within HR and staff management.
