The Local HR Services & Admin Assistant is tasked with providing key support to the human resources department while ensuring the smooth operation of general administrative tasks. This role is essential for supporting the execution of key HR activities on the ground, such as recruitment, onboarding, training and employee relations, by ensuring these processes are carried out efficiently and effectively at a local level. The role holder will be in close contact with the Nordic HR Manager and regional People Services teams of Beiersdorf, as you handle the things that cannot be done by the remote People Services team.
The role holder will also provide essential assistance in general administration services including Health and Safety, travel management and event management as well as co-ordinating and planning our bi-annual Nordic conferences.
Local HR Services:
Support the regional and central HR services team as the local point of escalation
Co-ordination of local practices for people services e.g. approvals and documentation requests, physical signatures, contract printing, filing, archive management and scanning documentation.
Assist the Nordic HR Manager and regional HRBPs with the implementation of key HR interventions and employee relations topics
Support onboarding of new colleagues
Support initiatives for employee engagement
Assist with local recruitment needs such as organizing meeting rooms and co-ordinating agency recruitment when needed
Support the HR Manager in ensuring compliance with tax regulations, labour laws, and reporting obligations and connect with local or central HR team members as needed
Maintain and update local HR policies within the HR portal
Organise the logistics of HR events such as trainings and Corporate Social Responsibility (CSR) days
Raise purchase orders and approve invoices for your designated areas of responsibility
Co-ordinate relationships with local third-party HR vendors, including participation in the tender process and handling contract documentation
General Administration & Co-ordination:
Co-ordinate the Sweden Health and Safety committee, organizing meetings and planning agenda items along with ensuring Health and Safety compliance is managed e.g. work environment audits
Assist teams with event management by booking and organizing venues through our third-party event management system
Plan and execute the bi-annual Nordic conference from securing the venue to collaborating with the leadership team and organization group to develop and guide the agenda
Manage the travel management process addressing and resolving employee travel issues with our third-party provider
Provide administrative support for monthly townhall meetings
Co-ordinate local Corporate Social Responsibility initiatives in Sweden and wider Nordics teams when appropriate
Cover reception and office co-ordination duties during holidays and absences
Profile
Strong organisation and prioritisation skills
Understanding of HR topics
Understanding of data protection practices

Analytical and problem-solving skills
Good communication and interpersonal skills
Ability to work independently and collaboratively in a fast-paced environment
Fluent in English and Swedish
