HCAM Program support will

• Manage all Pre boarding processes for employees landing on HCAM program
• Ensure Sweden side compliance, governance especially of work rights eligibility in the Sweden, Tax Number, Tax, HR, Finance
• Manage all Onboarding processes for employees landing on HCAM program
• Ensure comfortable start for employees and assist them on all compliance and CIC process requirements
• Track and Manage documentation that is secure, backed up and provide summary management reporting to Sweden CIC. Work with employees and accounts for onboard/offboarding.
• Assist employees with any personal or HR queries.
• Interface with key partners : Onsite Payroll, LSS teams, India Payroll, LoA, Immigration, India Separations, Amex, Payables,HRMS, Auto billing team
• Manage all employee files

Preboarding

a) Serial Numbers creation
b) Blue Pages Record creation
c) VPN
d) SPOC for Badge Requests
e) Arrange for Laptops set up and courier
f) Amex Card Process
g) Bank Account opening process
h) Offer Letter creation
i) Addendum letter creation

Onboarding
a) Start Date Confirmation
b) Payroll form filling and sending to payroll
c) Manage all payroll inputs like payments / recoveries

Other Admin Tasks

a) Prepare reference letter for the tenancy check which is requested by the letting agents, need wet signature
b) Process Visa reference letters, need wet signature
c) Process Maintenance letters for cases wherein dependants would be travelling at a later stage , need wet signature
d) Process reference letters for all the employees which is needed to open a bank account, need wet signature
e) Visit Post Office every day to send across relevant letter to relevant employees / team's
f) Update all CIC related milestones in the HEAD tool - Keeps the projects / employees informed around the status of the assignment
g) Head Count reports containing information about In's & Out's (Monthly once)
h) Work with the Immigration Vendor team on backend billing info
i) Update the locations details against the cases which have been billed by Fragomen
j) Update the number of dependants details in the report against the landed headcount - this is taken individually from employees
k) Assist Immigration team in confirming the dependant information and location details to ensure the invoice is billed correctly ( Cases wherein Immigration team reaches out separately to CIC for a confirmation )
