The External Relations & EU Projects Group at the European Spallation Source ERIC in Lund, Sweden, invites applications for an Grant Administrator.

The External Relations & EU Projects Group provides tailored support and assistance to scientists and engineers at ESS in developing, writing and submitting applications for national, but mostly European research funding. The Group is also in charge of administrating all awarded grants at ESS, which includes the grant set-up, the financial reporting throughout the implementation phase as well as the closing-out of the project including the facilitation of audits.

We are seeking a Grant Administrator with relevant professional experience to join our team. The role will involve the following activities:

Call identification
• Weekly screening of relevant open calls and tenders on national and international level
• Collaborate with all project areas to identify calls for specific projects
• Distribution and follow-up of open calls with contact points in project teams

Proposal set-up
• Evaluate proposals based on administrative and financial criteria
• Supporting the setting-up of grant applications
• Prepare the administrative documents required for application
• Support with setting up the budget
• Setting-up, up-dating, and maintaining general documents collection needed for ESS Grant applications (e.g. administrative and financial requirements, ESS general description, CVs, scientific publication lists, chapters on project management, quality assurance, dissemination & implementation etc.)

Proposal submission
• Review budget and administrative deliverables
• Supporting the timely submission of all necessary reporting to grant providers and project leaders

Grant preparation for allocated Grants
• Project coordination of grants where ESS is the project leader
• Interface to Grant Authority or Consortium leader
• Ensure the timely delivery of all administrative and legal documents necessary in the Grant preparation phase (Declarations, legal agreements, contracts, accession forms etc)
• Set-up of grants in internal tools (Agresso and Primavera P6)

Grant implementation for allocated Grants
• Financial management incl. budget tracking through monthly cost control reports
• Ensure the timely and complete delivery of requested project and financial reporting
• Time reporting incl. time sheet filing

Project closing
• Ensure the timely and complete delivery of requested of final project and financial reporting
• Preparation of project financial audit and archiving of administrative/financial documents

Qualifications: 3 - 5 years of relevant work experience
Academic degree in a subject relevant to the portfolio of the tasks
Deep knowledge of the EU institutions and the decision-making processes, as well as the developments in the field of Research and Innovation, Enterprise and Industries, Education and Regional Policy, including the respective funding programme schemes.

Experience of working in an international environment is essential.

Excellent oral and written English skills are a prerequisite; knowledge of other European languages would be an advantage.

This is a temporary 2-year position.
