hela Sverige VBC QCS (Quality & Customer Satisfaction) are responsible for making customers successful by maximizing uptime for bus owners. The main sites are located in Sweden, Poland, Mexico, India and Brazil. We want to make a difference by being there for our colleagues and our customers and by providing uptime and reliable tools and information for short lead-time at dealers and workshops.
With the main focus on company outreach, brand reputation, customer and stakeholder relationships, and revenue generation, VBC GMC (Global Marketing, Communications & Public Affairs) develop and deploy strategic concepts and messaging, effective market positioning, and the communications tools that best contribute to building a profitable business whilst serving our company purpose.
We are now looking for a professional and experienced Executive Assistant for the SVP QCS and the SVP GMC.
Role Mission & Context
In this assistant role, you will work both independently and take own initiatives, as well as proactively support others in close cooperation. The position involves a high level of responsibility and requires commitment, loyalty, ability to prioritize and a positive service mindset. The work is varied and you will work in a fast changing environment where your communication skills and ability to always deliver will be key to success. The role requires strong networking and interpersonal skills, and your ability to transparently communicate and simultaneously work with people in several different competence areas is essential. You will under pressure proactively plan activities and administrate tasks in a high pace environment focused on action and getting things done. The role holds shared reporting lines, supporting both the SVP QCS (60%) and the SVP Marketing, Communications & Public Affairs (40%). Whilst the position requires a high performance individual, we look forward to welcoming a new colleague that also likes to have fun and socially contribute to developing us as a team.
Key Responsibilities
• Be a proactive and coordinating member of both SVP management teams
• Follow up and develop the Executive Assistants' processes and routines
• Actively support and coach the SVPs by preparing and facilitating structured and efficient management operations
• Plan, coordinate and drive preparations for meetings, both internal and external
• Plan, organize and follow up the SVP's daily and annual meeting calendars as well as their travel agenda
• Plan and organize seminars and conferences, also with external partners and stakeholders
• Handle invoices in SAP and process EBD purchasing orders etc.
• Active member of Buses Executive Committee Assistants (BECA) team to keep up communication and knowledge sharing among the Executive Assistants in VBC
• Web and BMM editor for both of the departments
• Create impactful presentations, correspondence, decision support materials and various reporting (collect, develop, distribute and follow up)
• Set and secure the defined structure and relevant accesses in TeamPlace/Workspace
• Handle filing, ordering and distribution of various documents
• Handle certain relationships and interaction with external stakeholders such as partners, officials, NGOs and journalists etc.
Required Competencies
• You have the relevant administrative education or training, and a strong service background with deep experience and high results as an Executive Assistant
• You have excellent administration and communication skills, and remain service-minded and flexible under pressure
• You have a strong ability to co-operate, and handle sensitive and confidential information with impeccable personal integrity
• You have a strong drive for continuous improvement and stay determined to finalize tasks with a high quality mindset
• You have a proven strong ability to organize, structure and prioritize a wide range of issues, both internal and external, in an effective and independent way
• You possess advanced skills in English and Swedish, both spoken and written
• You have an agile and representative business, customer and people focus in your professional behavior towards both internal and external influential stakeholders
• You have previous Volvo Group experience
• You are an experienced user of IT tools e.g. Microsoft Office, TeamPlace, Lync, SAP/R3, EBD and other support tools for administration in Volvo Group
• You have a genuine interest in improving office efficiency and helping people
