Group Trucks Operations is the truck industrial entity within the Volvo Group responsible for Global Truck manufacturing, including Cab & Vehicle Assembly, Engine Production, Logistics Services, Parts Distribution and Material & Remanufacturing. Together, Group Trucks Operations represent almost 35,000 employees at 70 larger or smaller units on 6 continents.
Executive assistant to SVP Controlling ? GTO
The role has the responsibility to assist and support the Controlling SVP with various administrative tasks, as well as coordinate and drive own projects. You will play an important role in making our function efficient.

Main activities and responsibilities
• Coordinates and organizes the Manager?s calendars and conferences/events
• Coordinates Management meetings which include travel arrangements agenda planning and being the liaison between all participants. Be part of the management team and contribute to a good teamwork. Records minutes if needed
• Responsible for creating various kinds of documents and presentations
• Mail administration, supervise and answer mail and alert the direct manager on urgent and important issues when applicable.
• Search, collect data and compile reports, follow up plans and activities
• Economics; invoice handling, time reports, traveling expenses, order handling
• Continuously improve administrative routines
• Drive and coordinate projects and programs related to business operations or communication, and take active part of the network of SVP?s assistants.
• Other administrative tasks
• To be considered in the position as well: organization and active preparation of communication for the Controlling department within GTO in relationship with other communication departments.

Critical competencies for the position
To be successful in this position you need to be service minded, have a proactive focus and enjoy the challenges of supporting a top-level manager. You need to have the ability to organize; structure and prioritize a wide range of administrative issues in an efficient way

The job requires that you have a high level of integrity; you need to feel comfortable in working independently and you will be working in a high pace international environment that requires you to be very well organized, have excellent communication and networking skills.

• Knowledge of Volvo organization and administrative routines
• Excellent IT skills and ability to learn and use new IT tools and methods
• Excellent written and verbal communication skills
• Fluent in English and Swedish, written and spoken. Japanese is needed for the position
• Organizational skills, attention to details and problem solving skills
• High level of integrity
• Minimum education and experience: Exam from administrative training/education or equivalent work experience from similar positions.
• Culture: good knowledge of Volvo Group culture is required, and knowledge of Swedish, US and Asian cultures
• Experience Volvo internal administrative tools
