We are looking to recruit an outstanding Executive Assistant to be based in our brand-new vibrant office in Life City in Hagastaden, Stockholm, next to the Karolinska University Hospital.
As our Executive Assistant you provide the Nordic Country President high quality support, planning and prioritization of the agenda as well as ensure she is briefed on the most important issues to carry out her role efficiently and effectively, making the best use of her time.
We are looking for an Executive Assistant who thrives in keeping things well-organized and structured in a fast-paced environment, has a proactive, growth mindset, and is digitally savvy. In addition to traditional EA responsibilities, you will support the Nordic Leadership Team, lead meetings and projects. Integrity and discretion in handling confidential information and professionalism in taking care of senior executives are essential.
Responsibilities include:
* Screen and respond with discretion to often highly confidential requests and inquiries, and support and coordinate Nordic internal communications sent from the Nordic Country President or the Executive Leadership team.
* Manage appointments and schedules, prioritize the Country President's agenda, and make travel arrangements.
* Coordinate meetings, including attendee management, materials preparation, room set-up and issue resolution, and prepare agendas and manage minutes and action tracking for the leadership teams that the Country President leads.
* Scheduling and plan internal in person or virtual office meetings in their entirety by securing all logistics, catering and when required managing Zoom/MS Teams using digital technologies to engage with our audience.
* Providing administrative support including creating detailed Microsoft PowerPoint presentations and report generation in Excel and Word and material for internal/external meetings, and for social media.
* Administer, review, and approve standard expenditures and financial procurements
* Support onboarding of new senior leadership team members
In order to succeed in this role, you have:
Experience supporting senior leadership as an Executive Assistant / Personal Assistant while partnering with other executive assistants, in addition to being:
* Digitally savvy and interested in using digital tools to communicate and improve ways of working
* A strong interest in learning; is curious and asks effective questions
* Strong interpersonal, collaborative, and communication skills.
Essential requirements
* Experience providing support for senior-level executives in an international organization
* Exceptional planning and organizing skills, with a strong sense of urgency balanced by a good ability to prioritize
* Experience of sophisticated diary management, arranging international travel, and expense reporting
* Digital savvy, with experience from working in Microsoft Outlook, Excel, Word and Teams, Zoom and WorkPlace
* Fluent in English and Swedish, verbally and written
