About the role
As Department Assistant for the Global Department your main responsibility will be to provide administrative support to the department and the Department Director. You will also act as a coordinating service function to simplify and streamline the department's work.
Since this is an entirely new position you will also have the opportunity to be involved in the process of shaping the role and the working methods.
As Department Assistant you report to the Global Department Director.
Your key activities will be to:
Manage calendars and schedule meetings
Prepare written documentation, such as meeting notes and power point presentations
Attend and keep minutes during meetings
Manage the Department Director's inbox and, if necessary, prioritize among tasks
Be a contact person for other departments and for external parties to relieve the Global Department daily work

This position requires good verbal and written communication skills in English and Swedish, meaning that you can interact with a degree of fluency and spontaneity that makes regular interaction with native speakers possible without strain and that you can produce both clear and detailed text.

To be suitable for this role you have:
Relevant post-secondary education in administration and business support or similar, or equivalent experience
1 - 3 years of relevant professional work experience with administration and documentation as well as managing customer relationships, internally or externally
Previous experience of having worked as a chief assistant, department coordinator or similar
Great skills in Microsoft 365 (Teams, Outlook, PPT, Word)
Documented experience from NGO-work is highly preferable.

About the employment
This is a full-time permanent employment with a 6-month probationary, starting according to agreement.
