We currently have an exciting opportunity for an Administrative Coordinator to be based in the Sweden office in Stockholm. This position will support the Nordic Medical team with administrative activities and report into the Nordic Associate Director, Medical Affairs.

Job Requirements:

• Take on project responsibility for scientific meeting activity for external experts & internal team. Includes Advisory Boards, Medical & Patient Education meetings, Speaker Tours etc.

• Arrange travel & accommodation for team.

• Manage the non-promotional material review/approval of Medical Affairs materials in ZINC

• Manage data entry and reporting of Medical Information requests in IRMS as well as filing of documentation.

• Admin support to the Nordic Grant Review Committee, agenda, materials distribution, minutes & filing.

• Admin support to the implementation and running of a Nordic Fellowship Program

• Coordination of Medical Affairs monthly & quarterly PoA (Plan of Action) reports.

• Manage Purchase Orders, Contracts, Payment Requests and all financial administration including Supplier Setup and invoice tracking as needed. Manage Contract filing system.

• Support HR department in cooperation with headquarters including interview arranging, new employee induction and other support

• Be in charge of reception including meeting & greeting people and answering telephone, post incl courier services and general admin duties (shared with Dept. Admin).

Knowledge, Experience and Skills required:

Successful candidates will have significant administrative experience in a commercial environment. Preferrably have experience from the pharmaceutical industry setting and a basic familiarity with medical terminology and compliance requirements.

They must have excellent verbal, written, and interpersonal skills and be able to prioritise and pay high attention to detail. They should have solid knowledge and experience using a number of office software and IT systems. They must be fluent in Swedish & English. Have been working at least one year work expirence.
