About the Australian Embassy in Stockholm
The Australian Embassy in Stockholm is responsible for advancing Australia's bilateral interests with Sweden, Finland and Latvia. The Embassy provides Australians residing in or visiting these countries with consular and passport services.
About the Position
The Corporate Services Officer is part of a small team that pursues Australia's objectives in Sweden. Under direction, this position performs a range of corporate enabling duties that contribute to the efficient functioning of the Australian Embassy in Stockholm. This position provides general administrative support including finance and human resource processing and manages travel arrangements for staff and visiting officials.
The key responsibilities of this position include, but are not limited to:
Process financial accounts for payment in SAP.
Prepare routine financial reports and administer VAT returns.
Process monthly salaries for locally employed staff.
Calculate and process conditions of service entitlements for A-based staff.
Administer debt advances and create Vendor and Customer accounts in consultation with the Regional Services Delivery Hub in London.
Prepare and maintain records for the Head of Mission and Deputy Head of Mission's representational funds expenditure.
Train staff in the use of financial systems, including the credit card acquittal system, payment systems and time management systems.
Arrange domestic and international travel for staff and visiting officials.
Assist with the arrival and departure of diplomatic staff at post.
Provide backup support for the Corporate Services Manager and other staff as required.

Qualifications/Experience
Experience in administration, finance or related fields.
Proficiency in SAP (or other financial packages) and Microsoft Office software applications.
Excellent written and oral communication skills in English and Swedish.
Ability to demonstrate reliability and adaptability, and to work independently and as a member of a team to meet deadlines and deliver outcomes.


About the Department of Foreign Affairs and Trade
The role of the Department of Foreign Affairs and Trade (DFAT) is to advance the interests of Australia and Australians internationally. This involves strengthening Australia's security, enhancing Australia's prosperity, delivering an effective and high-quality overseas aid program and helping Australian travellers and Australians overseas.
The department provides foreign, trade and development policy advice to the Australian Government. DFAT also works with other Australian government agencies to drive coordination of Australia's pursuit of global, regional and bilateral interests.
SELECTION CRITERIA

A. Proven experience working in an administration or finance role and ability to work autonomously, adapting to a rapidly changing environment.
B. Strong organisational skills, attention to detail and the ability to work under pressure and manage priorities with limited supervision.
C. Excellent written and oral communication in English and Swedish and ability to work effectively across all organisational levels and liaise with internal and external stakeholders.
D. Ability to work effectively with other team members in a busy, processing environment by demonstrating flexibility, reliability, adaptability, initiative and resourcefulness.
E. Proficiency and experience with financial accounting systems (SAP preferred) and Microsoft Office programs.
