SIPRI is seeking a Communications Assistant focusing on events and media to reinforce the Outreach Department in its ambition to strengthen the Institute's service-minded engagement with its numerous audiences and to convene highly professional public events and research workshops.

Context
The Stockholm International Peace Research Institute (SIPRI) is an independent international institute whose core mission is to undertake research and activities on security, conflict and peace. Main tasks and responsibilities
The primary responsibility of the Communications Assistant is to contribute to convening professional event activities and to help provide a service-minded, fast responding interaction with SIPRI's audiences, primarily media. In that role, they will work closely with SIPRI's Director of Communication, the SIPRI events team as well as SIPRI's research staff to help ensure professional research workshops and events as well as facilitate and maintain SIPRI's considerate global media footprint.

Specifically, in coordination with the respective conference coordinators and research teams and the Outreach Department, the Communications Assistant will:

• Assist the SIPRI events team in all logistical and administrative tasks related to the preparation and delivery of SIPRI's major conferences, i.e. the Stockholm Forum on Peace and Development and the Stockholm Security Conference
• Manage event logistics for other assigned SIPRI events, such as research workshops
• Assist with participants' registration, travels, travel documents and accommodation
• Assist with venue and catering bookings, materials/equipment including IT needs
• Maintain and develop media relations
• Set up and facilitate media interviews on a day-to-day basis
• Assist with maintaining SIPRI's contact databases and key recipient lists for media and other stakeholders
• Monitor SIPRI's media coverage and develop impact evaluation materials
• Assist with evaluating SIPRI's output performance



Requirements
The successful candidate will have the following experience and skills:

• Fluency in written and spoken English
• Excellent written and oral communications skills
• Experience in event booking logistics and/or in providing administrative support to large, high-level conferences
• Familiarity with handling finance systems is and advantage
• Familiarity with SIPRI's research areas is an advantage
• Fluence in written and spoken Swedish is an advantage

Contract period
Starting in September 2023, or as soon as possible thereafter. We offer a fixed-term employment (särskild visstidsanställning) for 1 year, initially until 31 August 2024, with the possibility of extension.

The salary package will be negotiated individually.
