General description of the tasks and role of the Secretariat
The Council of the Baltic Sea States (CBSS) serves as an overall regional forum for intergovernmental cooperation and coordination among the 11 CBSS Member States - Denmark, Estonia, Finland, Germany, Iceland, Latvia, Lithuania, Norway, Poland, Russia, Sweden, as well as the European Commission. A Permanent International Secretariat was established in Stockholm in October 1998.
Duties and responsibilities
The job description is intended to describe the general nature of the work being performed by the incumbent of this position. It is not intended to be an exhaustive list of all responsibilities and activities required of the position.
Together with the Press and Communications Officer, you will continue to develop and implement the CBSS Information and Communication Strategy. This is an ideal position for someone who would like to work part-time but still provide meaningful input to an organisation.
The position will serve the entire CBSS network by ensuring that the organisation's web presence and outreach work aids our mission.
The incumbent is expected to have both strong technical capacity and interpersonal communication skills, and to work in close collaboration with all staff members of the CBSS Secretariat.
Reporting to the Press and Communications Officer the position encompasses the following main duties:
• Assist the Press and Communications Officer with the implementation of the CBSS Information and Communication Strategy
• Evaluate and create indicators to maintain consistency and quality of all communication tools
• Review and update web content with the relevant units in the Secretariat to ensure accurate, up-to-date and easily-accessed information and calendar
• Respond to queries from academics, international yearbooks and encyclopaedia
• Collate reports
• Manage CBSS internal and external lists - media, mailing and contacts
• Create Acrobat PDF files from MS Word, MS PowerPoint and MS Excel files.
• Deal with the production and logistics of printed matter
• Coordination of translation and proof-reading
• Archive images and publications
• Other ad-hoc duties as assigned.
Qualifications and skills:
• Relevant education as webmaster or equivalent experience within communication field, and adequate IT knowledge.
• Experience or familiarity with Adobe Design, and content management systems.
• High level of proficiency to independently plan, organise and carry out work tasks within deadlines.
• Service oriented work style, with ability to work effectively and harmoniously at all levels in an international and diverse team
• Excellent command of both written and spoken English. Swedish language skills are an advantage.
Terms of employment
This vacancy is subject to local recruitment, i.e. it is open to candidates currently tax resident in Sweden. The Secretariat shall not assist with matters concerning residence or work permit and no relocation or moving expenses are payable in connection with local recruitment.
