Medac in "Hyllie The Point" expands and is now recruiting an analytical, structured and collaborative Finnish speaking Commercial Coordinator to the Nordic headquarter in Malmö. About the position
You are offered a challenging and developing position. You will work with a professional and dedicated team on a Nordic and European level.

The Commercial Coordinator main responsibility will be to assist with and coordinate task within the Operations team.

The position will be part of the Operations team and you will work closely with our functions within Supply Chain, Tender & Portfolio Management, Quality Assurance, Regulatory Affairs, Pharmacovigilance, IT & Business Processes, Finance and Treasury. There will also be interactions with the European HQ departments in Germany.

Your main responsibilities and accountabilities will be:

• Responsible for daily invoice administration and control
• Provide Customer Service at HQ with billing basis
• Verify invoices and credit notes that are sent to 3PLs and wholesalers
• Provide basic data for and assist with Intrastat reporting
• Administering the travel agency account
• Bank administration including payment files and manual payments

• Assist with creating and collection documentation for tenders
• Price updates to HQ and other external parties

• Assist with purchase of IT equipment
• Assist with maintenance of Intranet (SharePoint)
• Assist with writing work instructions, document workflows and SOPs (scope Operations)

• Assist with reporting out of stock to local authorities
• Assist with updating, maintaining, and developing the local Product Database

• Assist with delivery monitoring to warehouses and with delivery deviations to HQ
• Assist with verifying that correct documentation follows inbound and outbound deliveries
• Assist with keeping the price lists updated

• Back-up to other functions within the Operations Team

You will report to Director Operations.

Your profile
We believe that you have at least 1-3 years of working experience after graduation. We are flexible regarding your educational background.

Previous experience of working in a cross-Nordic environment and/or in the pharmaceutical or biotechnology industry is an advantage.

Finnish is a requirement for the position. You also need a strong English knowledge. It is meritorious if you also master Swedish, Danish, or Norwegian on a high level.

You need to be well-versed in Microsoft Office products and knowledge of information systems and tools is a distinct advantage.

The successful candidate for the position is analytical, demonstrates ownership, is creative, a team player and flexible. You are curious, willing to learn new things and have an inner drive of finding ways to solve challenges within your area of responsibility. On top of this, you are flexible, and service minded.

You also must have the ability to build collaborative relationships both inside and outside the company. We also value project coordination abilities. Excellent communication and presentation skills, both verbal and written, are also an advantage.
